Executive Assistant to CEO – Property Management

Overview:
We seek a dedicated and proactive Executive Assistant to support the CEO of a growing property management company. The ideal candidate will be a self-starter with exceptional organizational skills, strong follow-through, and emotional intelligence.
Prerequisites/Experience:
– Completion of Athena Go and/or similar training.
– Minimum of two years’ experience in an Executive Assistant role.
– English C2
– Expert using Google Workplace.
Personality Traits:
– High follow-through.
– Proactive and takes the initiative.
– Ability to focus, simplify, and complete large tasks effectively.
– A generalist who enjoys moving projects forward.
– Comfortable speaking up, being direct, and willing to challenge when necessary.
– Coachable with a high EQ.
– Ability to perform medium-level research and present simplified results.
Key Responsibilities:
– Manage and protect the CEO’s time by handling email communications, scheduling, meeting preparations, note-taking, pre/post-call follow-up. This includes calendar management.
– Email and Inbox Management. To be an extension of the CEO and send emails on his behalf, maintain an inbox zero, etc.
– Anticipate the CEO’s needs and keep them focused on high-pay-off activities and organized.
– Creating, prioritizing, and completing to-dos on behalf of the CEO.
– Take the initiative to advance projects and improve office efficiency.
– Event planning, including office gatherings and external meetings and organizing travel arrangements.
– Support office operations by maintaining supplies and equipment and arranging staff resources.
– Proactively update the CEO on key projects and company deliverables.
– Embrace personal development during downtime through reading and research to enhance skills as an executive assistant to the CEO.
– Send and purchase gifts for VIPs.
