Job Description

Qualifications:
– Bachelor’s degree preferred.
– Proven experience as an executive assistant or similar role, preferably supporting C-level executives.
– Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
– Strong interpersonal and communication skills, both written and verbal.
– Proficiency in Microsoft Office Suite and other relevant software applications.
– Ability to maintain professionalism and confidentiality at all times.
– Flexibility and adaptability to handle changing priorities and urgent matters.
– Attention to detail and accuracy in all work tasks.
Responsibilities:
Calendar Management:
– Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
Anticipate scheduling conflicts and proactively resolve them to optimize executives’ time.
Communication:
– Act as the primary point of contact between executives and internal/external stakeholders.
Manage incoming calls, emails, and correspondence, prioritizing and responding appropriately.
Draft, proofread, and edit documents, presentations, and reports as needed.
Meeting Coordination:
– Arrange and coordinate meetings, conferences, and events, including logistics, agenda preparation, and material distribution.
Ensure executives are well-prepared for meetings by providing relevant documents and background information.
Travel Arrangements:
– Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation.
Prepare detailed itineraries and travel packets, ensuring executives have all necessary information for smooth travel experiences.
Administrative Support:
-Perform general administrative tasks such as filing, data entry, expense tracking, and invoice processing.
Manage office supplies, equipment maintenance, and other logistical needs of the executive office.
Confidentiality:
-Handle sensitive and confidential information with the utmost discretion and professionalism.
Maintain confidentiality of executive discussions, decisions, and documents.
Relationship Management:
– Cultivate and maintain positive relationships with internal team members, external partners, clients, and vendors.
Serve as a liaison between executives and various departments, ensuring seamless communication and collaboration.
Special Projects:
-Assist with special projects and initiatives as assigned by executives, which may involve research, analysis, and presentation preparation.
