We are seeking a motivated and proactive individual to join our team as a Part-time Executive Assistant. In this role, you will provide remote administrative support to clients, assist with personal tasks and doctor appointments, handle various projects including project management and filing state paperwork, conduct research, manage social media, and perform a wide range of administrative duties. Additionally, you will be responsible for reaching out to manufacturers for returns and repairs. The ideal candidate will be highly organized, possess excellent communication skills, be able to handle constructive criticism and thrive under tight time constraints.
Responsibilities:
– Provide remote administrative support to clients, including managing calendars, scheduling appointments (including personal doctor appointments), and handling emails and correspondence
– Coordinate and manage projects, including creating timelines, assigning tasks, and monitoring progress
Assist with personal tasks, personal errands, managing personal calendars, and scheduling and coordinating doctor appointments
– Handle filing of state paperwork, ensuring compliance with regulations and deadlines
– Conduct research and gather information on various topics as requested
– Help with social media management, content creation, and online marketing tasks
– Assist with data entry, document preparation, and file organization
– Coordinate and schedule virtual meetings and conference calls
– Reach out to manufacturers to initiate returns or arrange repairs for items
– Perform other administrative tasks and special projects as assigned
Qualifications:
– Proven experience as a virtual assistant or in a similar administrative role
– Strong written and verbal communication skills
– Proficiency in using virtual communication tools such as email, WhatsApp, and Monday. com, and Virtual Phone
– Excellent organizational and time management skills
– Self-motivated and able to work independently with minimal supervision
– Ability to handle sensitive and confidential information with discretion
– Ability to handle constructive criticism and adapt to feedback
– Comfortable working under tight time constraints and meeting deadlines
Preferred Skills:
– Familiarity with popular project management tools and software
– Knowledge of social media platforms and basic content-creation skills
– Experience in customer service or client support roles
