We are seeking a highly organized and detail-oriented Bilingual Virtual Assistant (Spanish & English) to manage and organize our Microsoft 365 email and Dropbox accounts. The ideal candidate will have excellent communication skills, strong technical proficiency, and the ability to work independently. This part-time role requires a commitment to maintaining the efficiency and security of our digital assets.

Key Responsibilities:

Organize and manage email accounts, folders, and subfolders for efficient communication.
Monitor and respond to emails in a timely manner.
Implement and maintain email rules and filters to prioritize important messages.
Schedule and coordinate meetings using Microsoft Outlook.
Organize and maintain Dropbox folders and files for easy access and retrieval.
Manage sharing permissions and ensure data security.
Regularly back up important files and remove outdated or unnecessary documents.
Collaborate with team members to ensure proper file organization and naming conventions.
Perform data entry and document management tasks.
Assist with the creation and formatting of reports, presentations, and other documents.
Provide support with other administrative tasks as needed.
Perform general administrative tasks such as data entry, document management, and scheduling.
Coordinate and schedule meetings, including sending out reminders and managing calendars.
Handle phone calls and virtual meetings, providing translation services when necessary.
Provide exceptional customer service to clients and stakeholders in both English and Spanish.
Address inquiries and resolve issues promptly and professionally.
Maintain a high level of confidentiality and discretion in handling sensitive information.

Qualifications:
Bilingual proficiency in English and Spanish, both written and spoken.
Proven experience as a Virtual Assistant or in a similar administrative role.
Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint) and Dropbox.
Excellent organizational and time management skills.
Strong attention to detail and problem-solving abilities.
Excellent written and verbal communication skills.
Ability to work independently and manage multiple tasks simultaneously.
Reliable internet connection and a dedicated home office setup.

Working Hours:
Part-time hours (approximately 10-20 hours per week) with flexibility to accommodate varying workloads.
Must be available during specified hours for email and communication management.
