About the Company:
Yellowcakeshop Clothing is a passionate small business creating unique, handcrafted fashion staples for the busy professional woman with care in Cleveland, Ohio, and Chicago, Illinois.

We seek a highly organized and proactive Executive Virtual Assistant to support our team, founder, and CEO in managing daily operations as well as a few personal tasks as we scale and grow nationwide.

The Role:
As an Executive Virtual Assistant, you will play a pivotal role in various aspects, including:

1. Event Participation:
– Research and secure participation in events aligned with our target audience, manage logistics, and track sales.

2. Website & Online Presence:
– Manage our Shopify store, process customer orders, maintain Google My Business page, and troubleshoot Shopify issues. Collaborate with offshore performance marketers and team members to aid in our e-commerce growth.

3. Customer Service & Email Management:
– Provide exceptional customer service via email (Outlook & Gmail), adeptly manage communication across three email inboxes, and handle inquiries from potential partners. Collaborate with the team on customer concerns to ensure prompt and effective resolution.

4. Project Management:
– Assist with marketing campaigns and events, production schedules, inventory tracking, order fulfillment, and coordinate with photographers and stylists.

5. Calendar Management & Scheduling:
– Schedule appointments and meetings for the team and maintain an organized calendar system. Assist with implementing automated systems to streamline recurring tasks.

6. Grant Research & Application:
– Research grant opportunities and prepare applications.

7. Administrative Support:
– Collaborate with our social media team, create reports, presentations, graphic design materials, manage finances, and conduct research.

8. Website Launch Assistance
– As our Executive Assistant, your role will be dynamic and involve several responsibilities, including assisting with the launch of our new website. The role primarily involves assisting with editing and maintaining some of the variants within the product listings.

Note: Occasional responsibilities may include managing artisan relations and wholesale activities, such as researching wholesale platforms, managing product listings, cultivating relationships with partners, and maintaining inventory. Furthermore, tasks related to media and public relations, including developing press releases, securing media coverage, and managing inquiries, may be required as needed.

Qualifications:
– 4-5 years of experience as an Executive Virtual Assistant
– Strong organizational skills and a keen eye for detail.
– Excellent communication and interpersonal skills.
– Creative problem-solver, self-starter, go-getter attitude.
– Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
– Must have experience in Shopify and Asana.
– Ability to work independently, manage multiple priorities, and meet deadlines.
– Positive attitude and passion for fashion and small businesses.

– Experience with social media management platforms.
– Understanding of handmade products.
– Experience with Mac
– Experience managing multiple projects with varying deadlines.
– Market research and competitor analysis skills.
– Bookkeeping and financial experience.

Benefits:
• Competitive salary ($740-1100/month) or $5-$7/hr pending experience
• Full-time position (40 hrs/week, remote), with the requirement to work from 10am-6pm EST.
