Position: Executive Virtual Assistant (EVA) – Real Estate
Overview:
As an Executive Virtual Assistant (EVA) in the real estate industry, you will provide comprehensive administrative and operational support to real estate professionals, including agents, brokers, and property managers. This remote role requires exceptional organizational skills, attention to detail, and proficiency in real estate software and tools.
Responsibilities:
1. Administrative Support:
– Manage calendars, schedule appointments, and coordinate meetings with clients, prospects, and team members.
– Handle phone calls, emails, and inquiries, responding promptly and professionally on behalf of the real estate professional.
– Prepare and proofread documents, presentations, and correspondence, ensuring accuracy and consistency.
2. Transaction Coordination
– Assist with the preparation and processing of real estate transactions, including purchase agreements, contracts, and closing documents.
– Coordinate with clients, agents, lenders, attorneys, and other parties involved in the transaction to ensure smooth and timely completion.
– Maintain transaction files, records, and databases, organizing documentation and tracking deadlines.
3. Marketing Support:
– Assist in the creation and distribution of marketing materials, including property listings, brochures, flyers, and digital advertisements.
– Manage social media accounts and online profiles, posting updates, engaging with followers, and promoting listings and events.
– Coordinate with photographers, videographers, and graphic designers to produce high-quality marketing collateral.
4. Client Relationship Management:
– Build and maintain positive relationships with clients, providing exceptional customer service and support throughout the buying, selling, or leasing process.
– Conduct follow-up calls and emails to ensure client satisfaction, gather feedback, and address any concerns or questions.
– Keep clients informed about market trends, property listings, and industry developments, providing valuable insights and recommendations.
5. Database Management:
– Maintain and update contact databases, CRM systems, and client management platforms, ensuring accuracy and completeness of records.
– Generate reports, analytics, and performance metrics to track key indicators and measure the effectiveness of marketing and sales efforts.
– Organize and categorize leads, prospects, and clients based on criteria such as location, budget, and preferences.
Qualifications:
– Proven experience as an administrative assistant, executive assistant, or virtual assistant, preferably in the real estate industry.
– Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, CRM software (e.g., Salesforce, HubSpot), and real estate-specific tools (e.g., MLS platforms, transaction management systems).
– Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, colleagues, and stakeholders.
– Exceptional organizational skills, multitasking abilities, and attention to detail, with a proactive and resourceful approach to problem-solving.
– Familiarity with real estate terminology, laws, and regulations is preferred but not required.
– Ability to work independently in a remote environment, manage priorities effectively, and meet deadlines consistently.
