Job Description

I am hiring a dedicated and highly organized Executive Virtual Assistant to support a Life and Spiritual Coach in providing guidance and inspiration to clients on their personal growth, holistic healing, and spiritual journeys. In this role, you will play a crucial part in helping me manage my daily operations, communications, and administrative tasks, as well as growing our operations, allowing me to focus on my clients, coaching practice, and speaking opportunities.

Type of Work: Fulltime
Salary: $700 – $900 negotiable based on experience
Hours per week: 40 hours but with flexibility from 22 – 40 hrs, 10:00 am – 6:00 pm Pacific (PST)

Expectations:
-Previous experience as an executive assistant or virtual assistant is preferred.
-Strong organizational and time-management skills.
-Must have excellent English skills both in written and verbal
-Tech-savvy with proficiency in virtual communication tools (e.g., Zoom, Microsoft Office, Google Workspace).
-A high level of discretion and confidentiality.
-An interest in personal development, spirituality, and coaching is preferred.
-Ability to work independently and take initiative.
-Be on time, be friendly, engaging, proactive, and professional
-Practice respect, empathy, direct communication, and professionalism together. Positive human relating is an essential!
-Have a steady internet connection sufficient for work calls and all tasks
-Report directly to the company director (myself). Be ready and willing to take on any professional task assigned to you, whether within the scope of tasks outlined below or something new and unexpected.
-Experience with brand or social media marketing a strong plus. Experience with growth-oriented companies and thinking proactively about strategy and implementation a strong plus.

-Ask questions. Get curious and engaged about the tasks you are completing and your role. When you don’t know how to do something or a task doesn’t work out or runs into challenges, say something. If there is a problem with your assignment, notify me if something is off.

Responsibilities:

Personal and Admin Support:
-manage calendar, schedule appointments, and ensure efficient time management
-handle email correspondence, filter and prioritize messages, and draft responses when appropriate.
-assist with document preparation, including reports, presentations, and client materials
-keep accurate records and assist in data entry and organization.
-updating website in Squarespace
-arrange travel and accommodation when necessary for coaching-related events and engagements
-project management for Woven Wings
-team management and provide assistance and support to the rental business (will only as a direct-contact person and oversee needs of the team member)

Strategy and development:
-network outreach and marketing (will also be given to a dedicated marketer in the future)
-create and execute strategies for acquiring new coaching clients, including outreach, marketing campaigns, and partnerships
-developing new products and programs, including online courses, seminars, and other offerings
-outreach to companies and organizations for speaking engagements and reading tours
-putting together a biweekly newsletter in coordination with business’s podcast, social media branding, building an email list
-strategy and implementation for growth, including identifying collaborators and B2B partners
-check-ins with current clients for feedback/follow up
-conduct research on personal development and spiritual growth topics to support the coach’s work.
-stay updated on industry trends and best practices to contribute fresh ideas
-coordinate client meetings, consultations, and follow-ups.
-maintain a positive and professional relationship with clients.
-ensure a smooth client onboarding process and manage client communication.
-help create and manage content for the coach’s website, blog, newsletters, and social media platforms.

Publishing and Self-publishing:
-Develop marketing plans and strategies to promote self-published works
-approach and pitch publishers for articles and long-form works
-Select appropriate platforms and distribution channels for publishing works
