Title: Executive Assistant to Entrepreneur

Role Summary:
The Executive Assistant will play a pivotal role in the daily operations and strategic planning of multiple businesses. This position requires a proactive, meticulous, and resourceful individual who thrives in a multifaceted and fast-paced environment. The ideal candidate will be adept at managing administrative tasks, coordinating projects, and communicating with various contractors and stakeholders to ensure seamless operations.

Key Responsibilities:
Provide comprehensive administrative support to the entrepreneur, including scheduling, correspondence, and project management.
Assist in strategic planning sessions and track progress on key initiatives and goals. Organize internal systems, files, and documents for optimal information flow, ensuring easy access and accuracy.
Manage communication between different business divisions, external partners, virtual assistants, contractors, and stakeholders.
Consolidate, organize, and coordinate daily calendars of senior managers
Plan appointments and events
Act as the point of contact between executives and employees/clients
Create regular reports and update internal databases
Make travel arrangements
Manage phone calls and emails
Respond promptly to managers’ queries
Facilitate internal communication (e.g. distribute information and schedule presentations)
Suggest more efficient ways to run the office and troubleshoot malfunctions
Review and recommend changes to our company policies
Prepare reports, presentations, and data to support decision-making processes.
Organize meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
Handle confidential information with discretion and integrity.
Support the entrepreneur in personal tasks and management to ensure optimal use of time.

Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field.
Proven experience as an Executive Assistant, preferably in a startup or fast-growing business environment.
Exceptional customer service skills?Strong organizational abilities and meticulous attention to detail.
Self-motivated with a knack for adopting new tools. Excellent comprehension and problem-solving skills.
A self-starter, able to follow simple instructions?Fluent in spoken and written English.
Proficient phone communication skills. Also, available outside of working hours as needed.?
Stable, reliable, trustworthy, honest, and committed to learning about multiple business operations and being responsible for their long-term growth.?
Proficiency with Google Calendar, Docs, Sheets, CRM platforms, and other relevant tools
Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant or similar role
Knowledge of office procedures
Solid experience with office management systems, ERPs and MS Office
Familiarity with online calendars and cloud systems
Strong communication skills (via phone, email and in-person)
Experience exercising discretion and confidentiality with sensitive company information
Excellent organizational skills with an ability to think proactively and prioritize work
High school degree; additional qualifications as Personal Assistant or Secretary are a plus
Exceptional organizational and time-management skills.
Strong ability to prioritize and multitask effectively.
Excellent verbal and written communication skills.
Proficient in Microsoft/ Google Office Suite and familiar with project management tools.
Ability to work independently and as part of a team in a dynamic, changing environment.
