Job Description:
We are seeking a detail-oriented, thorough, and organized Administrative Assistant to join our growing team. In this position, you will play a key role in streamlining our operations and ensuring that our small but dynamic team can function efficiently.
Duties and Responsibilities:
Administrative Support: Provide administrative support to the business owner, including managing calendars, scheduling meetings, preparing reports, note taking, and handling correspondence.
Customer Service: Serve as the first point of contact for clients and vendors. Respond to inquiries via phone, email, or in-person and provide excellent customer service.
Document Management: Maintain an organized filing system of electronic documents. Update and maintain office policies and procedures.
Project Coordination: Assist in the coordination of team projects, ensuring they remain on schedule. Help with the planning and execution of team meetings and events.
Billing and Accounting Support: Assist with invoicing, processing payments, and other basic accounting tasks as needed.
Vendor Relations: Help manage vendor relationships and order office supplies as needed.
Investor Relations: Help coordinate investor relationships
Onboarding: Assist in the onboarding process for new hires. Handle paperwork for incoming employees and give tours of the office.
Qualifications:
STRONG experience as an administrative assistant or in a similar role.
Knowledge of office management systems and procedures.
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
Excellent time management skills and the ability to prioritize work.
Strong organizational skills with the ability to multi-task, monitor Slack communications, and act QUICKLY.
Be available to meet frequently in a quiet atmosphere via Zoom.
Stable internet and power.
Excellent English written and verbal communication skills.
Attention to DETAIL and problem-solving skills.
Basic knowledge of the IT industry, specifically Managed Service Providers, is a plus.
Ability to work during USA – Pacific (PST) time zones.
