Role: Executive Assistant
Industry: Wedding & Event-Planning Company
Contract: Full-time
Hours: 160-180 hours per month, 40-45 hours weekly
Schedule: Monday- Saturday with shift options:
– 10 AM to 7 PM EST M-F
– 10 – 2 PM EST Saturday
(with lunch and breaks included)
Rate: Starting at $800 USD monthly
Availability to Start: ASAP

Their vast client base consists of South Asian brides, whom they help from the wedding planning to execution. While they specialize in bridal beauty, they are experienced in all areas of fashion, editorial, photography & film productions.

What you’ll do

As an Executive Assistant specializing in the wedding/event industry, you will provide streamlined Executive and Administrative support. You will work closely with the company’s Founder & CEO and liaise with clients and team members to ensure streamlined processes throughout the business. Your responsibilities will include but are not limited to the following:
– Providing Executive and Administrative support to the CEO – ensuring their schedule is streamlined, and all deadlines and urgent tasks are addressed.
– Representing the CEO by managing incoming and outgoing communication with clients and staff members via emails or phone calls
– Drafting communications and correspondence on behalf of the CEO
– Following up with clients on behalf of the CEO, from sending pricing lists to answering questions via email to getting on the phone or video calls
– Scheduling clients and staff Events
– Managing events calendar
– Assisting the CEO with wedding itineraries and timelines
– Assisting the CEO with invoice and contract creation for the clients
– Assisting the CEO with new hire onboarding, answering questions, etc.
– Assisting the CEO with staffing for certain positions, whether an intern or freelance makeup artist, or hairdresser
– Travel bookings for Staff and CEO
– Attending staff meetings, creating reports and presentations to share on behalf of the CEO

– Detail-oriented and proactive, able to develop new ideas and processes to do things better and more efficiently.

What you should have

– At least five years of experience in positions such as Executive or Administrative Assistant, Operations Manager, Chief of Staff, or any other relevant roles
– Experience working directly with CEOs or multiple Executives
– Experience with Google Workspace or Microsoft Office Suite (Doc, Sheets, Slides, etc.)
– Experience with drafting professional, clear, and concise communications
– Experience in handling staff communications, scheduling, and event coordination
– Experience in Project Management – managing tasks, and deadlines, updating assignees, and reporting (Trello or Asana experience is a plus!)
– Experience managing client and vendor communcations
– Outstanding organizational, excellent time management skills, and pays meticulous attention to detail.
– Ability to multitask and prioritize tasks accordingly
– Experience in event planning or wedding planning is a plus.
– Familiarity with South Asian customs is a big plus!
