The Job
Be a master of time management, communication, and client relations, ensuring Dee’s schedule and client interactions are managed seamlessly. This role requires a meticulous individual who can anticipate needs, solve problems before they arise, and maintain exceptional professionalism.

Key Responsibilities:

1. Calendar Management:
What: Manage Dee’s calendar precisely to avoid double bookings and ensure all appointments are strategically scheduled, considering several days ahead.
Why: To ensure Dee’s time is utilized efficiently and meetings are productive.
How:
Regularly review and update Dee’s calendar.
Schedule meetings and appointments, ensuring adequate time for preparation, travel, and potential overruns.
Proactively look several days ahead to identify and resolve any conflicts or back-to-back meetings that could hinder productivity.
Please look into any unusual or odd meeting requests beforehand to confirm their relevance and necessity.
Ensure there are no clustered deadlines or meetings, especially before holidays, to maintain a balanced workload.

2. Meeting Preparation and Follow-Up:
What: Ensure Dee is well-prepared for all meetings –there is no need to ask “what’s the meeting about and what am I doing? – and follow-ups are systematically tracked and scheduled.
Why: To maximize the effectiveness of meetings and ensure actionable items are addressed promptly.
How: Prepare and provide all necessary documents and information for meetings, ensuring Dee has ample time to review them.
Confirm that other participants are also prepared and have the necessary materials and information.
Note and schedule follow-ups from meetings, ensuring that Dee is reminded of these actions and their deadlines.
Brief Dee on upcoming meetings, their objectives, and key discussion points.
Please make sure the timing of meetings makes sense, and avoid scheduling during peak productivity times or personal commitments.

4. Administrative Support:
What: Provide comprehensive administrative support to Dee, including handling correspondence, and special projects.
Why: To allow Dee to focus on strategic initiatives and high-priority tasks.
How: Handle all correspondence, including emails and phone calls, prioritizing and responding as needed.
Manage special projects and assignments as directed by Dee, ensuring timely completion and high standards of quality.
Maintain confidential files and records, ensuring they are organized and easily accessible.

5. Problem Solving and Anticipation:

What: Proactively solve problems and anticipate Dee’s needs.
Why: To prevent issues before they arise and ensure Dee’s operations run smoothly.
How: Identify issues in Dee’s schedule or client management and address them proactively, suggesting solutions and alternatives. I’d like for you to maintain a forward-thinking approach to ensure preparedness for all scenarios, including last-minute changes or urgent tasks.

Develop and implement systems to improve efficiency and effectiveness, such as automated reminders and task management tools.

Exceptional organizational and time management skills.
Proactive mindset with strong problem-solving skills.
Exceptional command of the English language.
Experience with ChatGPT, Slack, Calendars, Calendy, Google Voice, Monday, Gmail, and a willingness to quickly learn and adapt to new technology platforms.
Your own tools include a work desk, computer, internet, etc.
Ability to work independently, manage deadlines effectively, and align with US business hours (CST) for collaboration.
