THE OPPORTUNITY
This is a unique opportunity to work closely with an influential figure in business consulting, offering dedicated support to our CEO. As the Executive Assistant, you will play a critical role in managing the operational and strategic tasks that underpin the success of our consultancy. You will be the CEO’s right-hand woman, a gatekeeper who safeguards the CEO’s time and energy, ensuring focus remains on high-impact activities.
KEY RESPONSIBILITIES
Email Management: Take ownership of the Director’s email inbox, organizing messages into relevant folders and providing responses as necessary.
Daily Stand-Up Meetings: Lead the 8:00 AM stand-up meetings, preparing agendas that outline the day’s schedule, critical communications, and top priorities.
Meeting Coordination: Accompany the Director to key meetings, recording minutes and managing action items to ensure comprehensive follow-up.
Travel Arrangements: Plan and oversee all travel-related logistics, including flights, accommodations, and itineraries, to facilitate smooth travel experiences for the Director.
Calendar Management: Maintain and optimize the Director’s calendar, scheduling appointments, calls, and meetings to maximize productivity.
Call Recordings and Minutes: Listen to call recordings and draft detailed meeting minutes and action items, ensuring meticulous documentation.
Meeting Minutes and Reporting: Distribute meeting minutes for Coaching, Consulting, and Marketing Meeting Calls, maintaining organized records for each client.
Client Call Bookings: Manage client call scheduling to ensure continuous engagement throughout the contract period.
Client Renewals: Monitor contract expiration dates and initiate renewal discussions to facilitate seamless contract continuation and promote client retention.
Client Onboarding and Offboarding: Lead the onboarding and offboarding process for clients, ensuring all necessary agreements are completed.
Client Communication: Provide clients with post-call resources, including meeting minutes, call recordings, and relevant documents.
Content and Records Management: Maintain client folders, update project documentation, and manage project-related tasks and communications.
Recruitment and Onboarding: Oversee the recruitment process, conduct initial interviews, and facilitate the onboarding of new team members.
HR Operations: Manage HR processes, including offboarding procedures and contractor agreements, while ensuring compliance with company policies.
Process Payments: Process freelancer payments accurately and timely, based on verified hours worked and approved manual hours.
Business Reporting: Generate and maintain business reports on a daily, weekly, and monthly basis, utilizing Google Sheets for various metrics.
Invoicing and Financial Transactions: Create and send invoices to clients using Xero, ensuring accurate and timely billing to maintain financial stability.
Research and Information Gathering: Conduct research to support decision-making processes, providing data and insights as needed.
Business Operations Assistance: Assist with day-to-day business activities and administrative tasks to streamline operations.
Process Optimization: Continuously review and refine internal procedures and systems to enhance operational efficiency.
