JOB TITLE
Real Estate Virtual Assistant

JOB OVERVIEW
We are looking for an experienced, highly-organised virtual assistant to support the director. As a VA, you will perform various administrative tasks including but not limited to, answering and making phone calls, managing emails, organising files, viewing arrangements, and liaising with sellers and buyers.

DUTIES AND RESPONSIBILITIES
• Take inbound calls
• Make outbound calls
• Organise correspondence and answer emails
• Ensure customer satisfaction and maintain professional customer support
• Manage filing systems, update records, and organise documentation
• Type up and prepare brochures and load them on websites with photos
• Send out brochures for approval and obtain property approval form before going live.
• File documents on relevant files on CRM system
• Carry out AML and ID checks on electronic system
• Order photos and floorplans
• Liaise with sellers and buyers
• Sending out details
• Follow up on details sent out
• Arrange viewings
• Get feedback from viewings from buyers
• Give feedback to sellers (liaising with the director first on how to give feedback)
• Make Sales Calls to obtain business valuations
• Scraping information for mail outs
• Analyse websites and analytics
• Write and send client invoices
• Raise references
• Sales progression and update buyers and sellers
• Daily reporting to the director with updates
• Send end of week report to Head Office on a Friday

QUALIFICATIONS
• Must have at least 1 year experience as a Real Estate VA. *Serviced Accommodation experience would be a huge bonus
• Strong verbal and written communication skills
• Proven customer support experience or experience as a Client Service Representative
• Proven work experience as a Sales Representative
• Excellent selling, negotiation, and communication skills
• Familiarity with CRM systems and practices
• Proficiency with cloud-based platforms such as Google Docs, Zoom, and other remote team messaging apps
• Working knowledge of spreadsheet (Excel/Google Sheet) and word-processing program
• Knowledge of WordPress/Squarespace, Wix etc.
• Ability to multitask, prioritise, and manage time effectively
• High level of attention to detail
• Proactive attitude
• Solid organisational skills
• Ability to work with minimum supervision
• Able to work in the UK Timezone
• Reliable, high speed internet connection

WORKING HOURS
11:00 AM – 02:00 PM Monday to Friday UK Time (to start with, there’s potential to increase).
Rate is $5-6/hour depending on experience
