Job Description:
We are seeking a highly organized and proactive Virtual Assistant to join our team. The ideal candidate will excel in finance planning, email management, scheduling, and travel arrangements. This role requires someone who can ensure smooth day-to-day operations and help keep everything on track. Additionally, the candidate should be skilled in providing motivation and support to ensure task completion and adherence to schedules.

Responsibilities:

– Financial Planning: Create and manage clear, detailed spreadsheets for cash flow and financial planning.
– Invoice Management: Ensure all incoming invoices are neatly stored and organized.
– Email Management: Handle incoming emails, keep the inbox neat and tidy, and provide regular updates on its status.
– Agenda Management: Manage and update the calendar, including adding appointments and tasks from voice memos or
messages.

Task Motivation:
– Regularly check in to ensure tasks are completed and schedules are adhered to.
– Provide reminders and follow-ups on deadlines and upcoming tasks.
– Offer encouragement and support to maintain productivity.
– Assist in setting achievable goals and tracking progress.
– Maintain open communication to address any challenges or obstacles.
– Travel Arrangements: Book flights, Airbnb accommodations, and other travel-related needs efficiently.

Requirements:

– Proven experience as a Virtual Assistant or in a similar role (5-10 Years)
– Strong organizational and time management skills
– Proficiency in Microsoft Excel or Google Sheets for financial planning
– Excellent written and verbal communication skills
– Experience with email management tools
– Ability to manage schedules and appointments effectively
– Reliable internet connection and a computer
– Attention to detail and ability to work independently

Preferred Qualifications:

– Background in finance or bookkeeping
– Experience with travel booking platforms
– Familiarity with project management tools / agenda tools (Google Agenda, Motion etc.)
