JOB DESCRIPTION
The Virtual Project Manager (VPM) is responsible for the timely execution of revenue-generating projects. and will interface with customers, and business partners to coordinate and execute the work. The VA has responsibilities for project management, administrative, marketing, social media, email, web site. As the right-hand support to the business owner, the VPM is in communication with the business owner once or twice a day, Monday-Friday AZ time, and works these days as well.
Project Management Responsibilities:
– Plan, set up, and attend 1-2 Zoom planning and status update/check-in meetings per week (Monday-Friday between 10 am-6 pm Arizona Time Zone)
– Maintain project management calendar, with appropriate links to resources, name of responsible team member and due date, ensuring timely execution of projects
– Follow and execute tasks in checklists in Asana-like web application (Upbase)
– Provide an email update on the tasks of the week ahead no later than Monday morning
– Provide daily email updates on tasks completed, status of tasks, ask questions or send requests regarding challenges that are creating delays in executing tasks
– Provide an end-of-week email update on the status/progress of the tasks scheduled for the week no later than end of day Friday
– Coordinate with team members, clients and business partners to retrieve materials and information in a timely manner deliverables
– Use existing Google Sheets docs and templates for various projects
– Track metrics on project/launch success, social media, emails, etc. for debriefs
– Create/update template for debriefs using Sheets
– Create, Manage, update, and email out debriefs
– Use the company email account to send all emails and log in to websites using LastPass
Customer Service and Communication Responsibilities:
– Provide excellent customer service to business owner, clients, customer
– Check the main company email inbox every day and respond to all emails within 12-48 hours
– Draft and schedule the weekly newsletter from ConvertKit or SendFox
– Create, maintain and solicit information for the weekly newsletter
– Email client Zoom recordings, links, materials within 24 hours of session
Marketing, Social Media, Copywriting, Copy editing & Proofreading Responsibilities:
– Maintain the marketing, communications and social media calendar
– Create and maintain the marketing/communication/social media tracker with post content/info
– Draft and schedule email sequences for upcoming promotions from ConvertKit and GMail
– Draft social media copy and hashtags, schedule post and send for approval
– Bulk upload from Google Sheets to Canva to create social media posts
– Create and update graphics and PDFs using Google Docs and Canva
– Draft and schedule blog posts using WordPress, Substack, social media, etc.
– Edit video content to create reels
– Upload and schedule reels in Buffer on multiple platforms
Web Site & Technology Responsibilities:
– Create and update web pages, landing pages, opt-in pages in WordPress from templates and themes.
– Update and share links to new web pages.
– Create automations using Zapier or Active Pieces
– Update virtual courses with video, copy, links, etc.
– Create, manage and maintain Affiliate commission program
– Upload videos to course portal, YouTube, etc.
