### Job Title: Virtual Assistant for Administrative and Operational Support

**Job Responsibilities:**
**Financial Management:**
– **Download and produce reports using company-specific tools** (Training provided).
– **Update private financial spreadsheets in Excel or Google Sheets** (Training provided).
**Employee Management:**
– **Create new employee logins for Tan Link and Sun Lync** (Training provided).
– **Process refunds and adjust transactions in Tan Link and Sun Lync** (Training provided).
– **Handle new employee onboarding and offboarding**: Including new hire spreadsheets, welcome emails, payroll invites, Basecamp invites, and project creation (Training provided).
– **Review and adjust time cards in the time management system** (Training provided).
**Data and Report Management:**
– **Compile and review weekly time clock data every Monday**: Ensure accuracy in clock IN and clock OUT times, and verify totals (Training provided).
– **Compile Time Clock Data into a spreadsheet**: Sort by employees’ last names, including bonuses, commissions, and tips (Training provided).
– **Create monthly progress presentations** using PowerPoint or Google Slides (Training provided).
– **Generate sales per hour reports** using company-specific software (Training provided).
**Inventory Management:**
– **Place orders for products and supplies**: Update Tan Link and Sun Lync with ordered items and create POs (Training provided).
– **Manage store-to-store inventory transfers** (Training provided).
– **Act as the point person for all inventory adjustments** to prevent manager access (Training provided).
**Customer Service and Support:**
– **Manage the customer service email account and 1800 number**: Handle requests for freezing, canceling, appointments, and refunds (Training provided).
– **Process chargebacks** efficiently (Training provided).
– **Maintain alarm systems**: Add/remove user codes as needed (Training provided).
– **Handle maintenance/repair request tickets in Basecamp**: Communicate with preferred vendors and ensure timely responses (Training provided).
**Additional Responsibilities:**
– **Place orders via Amazon Business account**: Manage approved items and seek necessary approvals for other items (Training provided).
– **Maintain and update Return to Sender emails in client accounts**: Leave notes for rejected emails (Training provided).
– **Create and manage spreadsheets for various administrative needs** using Excel or Google Sheets (Training provided).
– **Fix account issues in Tan Link/Sun Lync**: Add employee logins, PTIOD packages, and employee memberships (Training provided).
**Qualifications:**
– Excellent organizational and communication skills.
– Proficiency in using administrative software and tools (Training provided).
– Ability to handle financial data with accuracy and confidentiality.
– Experience in inventory management and customer service.
– Strong problem-solving skills and attention to detail.
– Patience and adaptability to work with a remote team where English is not the first language.
**Preferred Qualifications:**
– Previous experience in a similar role.
– Familiarity with the tanning industry.
– Ability to quickly learn new systems and processes.
