We need a FEMALE ADMINISTRATIVE ASSISTANT w/ DATA ENTRY experience that has Exceptional English Communication Skills in Writing and Speaking, and is comfortable communicating with US-based Clients and Customers through phone and email.
We are Headquest International. We are a business-to-business magazine helping small business owners find new products and run their businesses better. Right now, we are mostly servicing the smoke and vape shop industries.

We are looking for an experienced ADMINISTRATIVE ASSISTANT with exceptional English verbal and written communication skills that has prior DATA ENTRY and PHONE/CUSTOMER SERVICE work experience. In addition, we want someone very experienced with mass email & SMS outreach or email & SMS marketing using Klaviyo or other similar email & SMS campaign platforms. Prior work experience in the Magazines or Journalism Industry is a BONUS.

We will provide orientation and training on our company workflows, SOPs, and platforms. The ideal candidate will be a fast learner and be proficient or at least very familiar within 2 weeks of joining us. Job Specification and Requirements:
– Must have experience in an Administrative / Executive Assistant position
– Must have prior work experience in DATA ENTRY
– Must have experience with Mass Email & SMS Outreach, Email & SMS Marketing, or Launching Email & SMS Campaigns with Klaviyo ( or similar)
– Must be experienced with Customer Service or confident in communicating with US-based Customers/Clients
– Prior Work Experience in the Magazines or Journalism Industry is a BONUS.
– Must be exceptional in verbal and written English (Above C2 Level )
– Must be organized and HAS GREAT ATTENTION TO DETAIL
– Must have a close-to-American or neutral accent
– Able to research and perform tasks with minimum supervision
– Must be proactive & has great initiative
– Must be a problem-solver and a go-getter
– Experience with MAGHUB CRM Platform — Our Magazine CRM Publishing Software (HUGE BONUS!!)

– Klaviyo (Email & SMS Campaigns / Mass Email & SMS Outreach Platform)
– Data Entry (MS Excel)
– MagHub CRM Tool (BONUS)
– Email Management
– Calendar Management
– Admin & Phone Support
– Customer Service
– Microsoft Suite Tools (MS Excel, MS Powerpoint, MS Word, etc..)
– Google Suite Tools (Spreadsheet, Docs, etc.)

Technical/Workspace Specifications:
– Internet not lower than 10 MBPS
– Backup internet
– Noise cancellation headset
– Webcam
– Back-up Power is a HUGE BONUS!!
