We are currently seeking a highly organized and detail-oriented individual to join our real estate business as a Remote Executive Assistant to the CEO. The ideal candidate should possess strong proficiency in tools and applications, particularly Trello, and be able to work effectively in a fast-paced environment. As the Remote Executive Assistant, you will play a vital role in supporting the CEO, managing various tasks, and ensuring smooth operations within the organization. This is a remote position, allowing you to work from any location. The candidate should be available to start immediately and should not have any other full-time or part-time job commitments.

Essential Duties and Responsibilities:

– Remote administrative support: Provide comprehensive administrative support to the CEO, including managing their calendar, scheduling appointments, and coordinating virtual meetings across different time zones.
– System development, implementation, and management
– Information management
– Oversight of contracts through closing
– Customer/vendor relations
– Proficiency in tools and applications: Utilize various tools and applications, with a strong emphasis on Trello, to organize tasks, manage projects, and maintain efficient workflow.
– Effective communication management: Handle email correspondence, draft and proofread communications, and ensure timely and accurate responses on behalf of the CEO.
– Attention to detail: Display meticulous attention to detail when reviewing documents, reports, and presentations, ensuring accuracy and completeness.
– Adjustment to real estate office needs: Adapt to the evolving needs of the real estate office, providing support and assistance beyond typical executive assistant duties when necessary.
– Virtual meeting coordination: Prepare meeting materials, including agendas, presentations, and minutes, and ensure seamless coordination of virtual meetings with internal and external stakeholders.
– Research and analysis: Conduct research, gather relevant information, and provide valuable insights to support decision-making processes and strategic initiatives.
– Be the first point of contact in handling customer inquiries or complaints
– Keep the lead agent informed regarding any problems or issues that need to be handled.
– Miscellaneous assistant duties: Execute additional assistant duties as required, such as expense reporting, file management, and office supply coordination.

Qualifications:

– At least 2+ years of experience as an Executive Assistant or in a similar role, preferably in a fast-paced and dynamic environment.
– Excellent proficiency in tools and applications, especially Trello, and a strong aptitude for learning new technologies.
– Strong organizational skills and the ability to handle multiple tasks and deadlines simultaneously.
– Exceptional attention to detail and a demonstrated ability to maintain accuracy in a fast-paced environment.
– Excellent written and verbal communication skills, with the ability to communicate effectively with internal and external stakeholders.
– Proven ability to manage pressure and work with a high level of professionalism and confidentiality.
– Self-motivated and proactive attitude, with the ability to work independently and as part of a team.
– Flexible and adaptable to changing priorities and able to adjust to the needs of the real estate office.
– Proficiency in Google Apps and other relevant software applications required to perform the job.
– Strong problem-solving skills and the ability to think critically and provide innovative solutions.

The final salary will be commensurate with qualifications, experience, and skills demonstrated by the selected candidate.
