Job Summary:
We are seeking a detail-oriented and highly organized File Organization Specialist to join our team. The primary responsibility of this role is to establish and maintain a well-structured and efficient digital filing system for our business documents. The File Organization Specialist will categorize files, ensure proper naming conventions, and implement a logical folder structure to improve accessibility and streamline document management processes. The ideal candidate has excellent organizational skills, a strong attention to detail, and the ability to work independently.

Responsibilities:

Create and implement a comprehensive digital filing system for various types of business documents, including tax docs, website assets, branding materials, marketing plans, sales documents, client/project assets, training materials, and other relevant files.
Develop a logical folder structure and categorize files based on type, project, or client to facilitate easy retrieval and organization.
Ensure consistent naming conventions for files to enhance searchability and eliminate confusion.
Regularly review and clean up the digital filing system to remove outdated or redundant files.
Collaborate with team members to understand their file organization needs and provide support and guidance as necessary.
Train employees on proper file management techniques and best practices.
Stay updated with the latest file organization tools, software, and technologies, and make recommendations for improvements.
Maintain data security and confidentiality of sensitive files.
Provide technical support and troubleshoot file management issues as required.
Qualifications:

Proven experience in file organization, document management, or a related field.
Strong familiarity with digital file management systems and software.
Excellent organizational skills and attention to detail.
Proficient in creating logical folder structures and implementing naming conventions.
Ability to prioritize and handle multiple tasks simultaneously.
Strong communication and interpersonal skills.
Self-motivated and able to work independently with minimal supervision.
Tech-savvy and adaptable to new software and technologies.
Knowledge of data security and confidentiality best practices.
Prior experience in a business or corporate environment is preferred.
