About the role:
An exciting opportunity has opened up for a new role of Finance and Admin Manager at the UK’s leading Community Engagement platform.
You will be working alongside our experienced Head of Finance, as well as other members of the Executive team and the People Lead.
The role will be at the heart of all day-to-day financial operations of the business in a wide ranging role in a small team. You will take responsibility for the financial operations, making sure the finance team and business operate smoothly.
As Finance and Admin Manager you will be responsible for:
– Maintain and if possible, improve current financial business controls & processes
– Working closely with the revenue team to ensure all activities are aligned and to identify process improvements.
– Manage the finance inbox and ensure accounts payable invoices are recorded and paid on time
– Raise sales invoices requested by our sales team during the month and chase payments of these
– Reviewing staff expenses, ensuring all back-up and approvals are provided and have VAT receipts
– Prepare the weekly payments file for processing and approval
– Preparing weekly cashflow forecast
– Support month-end management accounts, including balance sheet reconciliations
– Prepare quarterly VAT submissions
– Partner with the People Lead to ensure accurate and up-to-date maintenance of confidential employee files and HR databases
– To support coordinating and overseeing employees onboarding and offboarding
– To support the People Lead with data collection and the preparation of various reports ( e.g. headcount, holidays, etc)
– Participate in other HR projects (such as employer branding initiatives; equality, diversity and inclusion, etc.)
– Proactive diary management for CEO and Executive Team, helping to organise their diaries
– Provide regular proactive and efficient administrative support to the CEO, as required
– Record minutes and actions at the company board meeting and at weekly executive team meetings, as required
– Key point of contact for the CEO, proactively managing internal/external enquires and communication, some of which may be of a sensitive and/or confidential nature
About you:
– You must be comfortable working in a UK timezone with core hours around 9:00am-5:00pm GBT
– Fully or part qualified financial or management accountant (CIMA, ACCA, ACA)
– Experience of preparing management accounts
– Strong IT skills – Excel, Googlesheets
– Analytical, logical and able to use initiative to solve problems
– Experience of working to a monthly timeline and meeting deadlines
– Ability to identify process deficiencies and improve them
– Honesty, integrity and discretion
– Willingness to always want to try and help other people in the business
– Experience of using Quickbooks Online (preferable, not essential)
– Fluent in English and confident communicating with external stakeholders
– Ideally available to start in November
