The FVA (Finance Virtual Assistant) will help our finance team keep our accounting records updated and ensure better decision-making processes across the business. The objective of the FVA is to process transactions and documentation effectively and efficiently in our ERP (Oracle Netsuite) via timely review of bills in our OCR software and via our manual payments processing management tool.
Responsibilities
• Bank-Related Duties (Weekly):
Bank Statements download and transformation into a specific Excel format (template to be provided) for import to our ERP (Oracle NetSuite). Data to be sense checked back to source material prior to finalisations.
• Manual Bill processing (Daily-weekly):
Review the OPEX Monday board – through which employees must request payments of supplier bills – ensuring all data requirements, such as department, brand and approvals are met and register them in Netsuite, using a template import or manually in some specific cases for urgent payment.
• Finance inbox review (Daily)& KPI monitoring
Review and process all the emails that are received into the Finance inbox. (Knowledge of Gmail rule creation would be a significant plus here)
Ability to analyze data and produce weekly and monthly reports for the business unit and wider team
• Expense Processing (Daily):
Invoice processing on Payhawk, adding bills received into Finance inbox.
Review invoice requirements and administration
Ensure that all expenses have their corresponding invoice. chase any outstanding invoices weekly from the relevant cardholder.
Ensure correct expense allocation and tax codes by using the provided supplier register

• The laptop should have these minimum specs: Intel i5 processor, with a minimum of 8GB RAM, and at least 128GB of hard drive space or more would be preferable.
• The internet speed should be a minimum of 40Mbps or 50Mbps.
