Job Description

We are seeking a detail-oriented and experienced Virtual Financial and Accounting Assistant to manage the financial and accounting operations for an entrepreneur engaged in diverse business ventures, including real estate, electrical business, and philanthropy. The ideal candidate will also assist with secondary administrative tasks to ensure smooth day-to-day operations.

1. **Financial Accounting & Analysis**:
– Perform bookkeeping tasks, including recording financial transactions and maintaining accurate financial records.
– Prepare and analyze financial statements, including balance sheets, income statements, and cash flow statements.
– Conduct financial analysis to support business decisions and provide insights on financial performance.
– Ensure compliance with accounting principles, regulations, and company policies.

2. **Payroll Management**:
– Process payroll and ensure timely and accurate payment to employees.
– Maintain payroll records and handle payroll-related inquiries.
– Assist with benefits administration and employee compensation.

3. **Budgeting and Forecasting**:
– Develop and monitor budgets for various business ventures.
– Prepare financial forecasts and variance analyses to inform strategic planning.
– Provide financial insights and recommendations to support business growth.

4. **Accounts Payable and Receivable**:
– Manage accounts payable, ensuring timely and accurate payment of invoices.
– Oversee accounts receivable, including billing, collections, and reconciliations.
– Maintain relationships with vendors and customers to ensure efficient financial transactions.

5. **Tax Preparation and Compliance**:
– Assist with tax planning and preparation of tax returns.
– Ensure compliance with federal, state, and local tax regulations.
– Maintain accurate tax records and documentation.

6. **Administrative Support** (Secondary):
– Assist in managing the executive’s schedule, including meetings, appointments, and travel arrangements.
– Handle phone calls, emails, and other correspondence with professionalism and confidentiality.
– Prepare reports, presentations, and documents using Microsoft Office and Adobe Photoshop.

**Required Skills and Qualifications**:
– Proven experience as an accountant, financial analyst, or similar role.
– Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and MAC Operating System.
– Experience with financial accounting software and tools.
– Solid understanding of financial accounting, bookkeeping, and financial analysis.
– Familiarity with payroll processing and HR-related tasks.
– Excellent organizational, time management, and multitasking skills.
– Strong communication and interpersonal skills.
– High level of discretion and confidentiality.
– Ability to work independently and proactively address issues.

**Preferred Qualifications**:
– Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
– Certified Public Accountant (CPA) or relevant certification.
– Experience in real estate, electrical business, or philanthropic organizations.
– Knowledge of business management practices and principles.
