Understand Financial Business Reporting Process
We have 5 small businesses, and every business is divided into 4 revenue streams.
Sales are attributed to a revenue stream, and then every expense is attributed to a revenue stream as well.
As a result, we can break down net profit at month end as a business overall, as well as by revenue stream.
Business Operating System
We use Zoho as an operating system. The Controller Role will operate mainly in Zoho Books, and Zoho Inventory modules.
In addition, we use Microsoft Business 365 for our email and storage applications, and Google for certain file exchanges.
Business Goal
Our goal is to have each business revenue stream operate at budgeted Net Profit.
For example, lets say our budget for FaceBook ad spend is 10% of sales in the Shopify Revenue Stream. As a result of this, if sales in the Shopify Revenue Stream for one of the companies in January are $2700, the FaceBook Ad spend budget for February is $270.
If this process is meticulously followed, at the end of the year, FaceBook Ad Spend will be 10% of the sales in the Shopify Revenue Stream.
Job Role
Communicate monthly budget to each time member on the first day of each month.
Monitor this spend weekly or bi weekly ( depending on the category ), and advise team member accordingly of position
Ensure every revenue transaction is applied to the correct revenue stream
Review every expense for accuracy, and ensure it is applied to the correct revenue stream. This will involve creating and maintaining a detailed document recording all spending agreements with suppliers, and matching invoices to these agreements.
Communicate with contacts at all 3PL locations, and get final inventory at month end in Zoho Inventory. Sort any discrepancies with 3PL, and Gutster Management.
Prepare a monthly management report comparing budget to actual.
Explain any expense values that were out of line from budget ( based on percentage )
Occasionally spot check order costs, and provide management direction on potential improvements.
Have an update call with Management weekly. These calls are done at the same time once per week, and are done via Zoom with cameras on for maximum efficiency.
Success of Role
1. Was Net Profit Percentage by Revenue Stream on target for all Revenue Streams in all companies?
2. Were invoices we received vetted for accuracy?
3. Was monthly report concise, and issues reviewed prior to presenting?
4. Are the values in Zoho Inventory accurate compared to actual numbers received?
Skillset Requirement
1. Loyal – This is a critical role in our organization, and as a team we are all loyal to each other. This is a required attribute
2. Experience – Please advise your experience in the financial controller role specifically. This is not a Virtual Assistant role
3. Detailed – Accurate record keeping is paramount
4. Assertive – Must be willing to clearly articulate a budget to the team member or vendor, and hold them accountable for costs
