Job Description

We are an Australian financial advice firm that delivers personal financial advice to a range of valued clients across Australia, working primarily in the superannuation (inc. SMSF) and insurance space. We are currently seeking an experienced virtual financial planning administrator to join our small team.

DUTIES
• Provider liaison – both by phone and email
• Submitting and follow-up of third-party authorities with providers
• Initiating superfund rollovers
• Data entry and management of CRM system (currently AdviserLogic)
• Completing investment and insurance application forms
• Completing client forms such as direct debit requests, enduring rollovers etc
• Follow up on outstanding requirements with providers
• Assisting paraplanner with SOAs
• Uploading and reconciling commission statements
• Saving documents to client files
• Sending documents for electronic signature via Annature
• Prepare client annual review files
• Sending supporting documents to providers
• Produce reports for the team as required
• Creating internal documents
• Distribution of newsletters & performance reports
• Other administration duties as required

CANDIDATE REQUIREMENTS
• Strong attention to detail is a MUST
• Excellent written and spoken English
• Experience in Financial Planning software (eg. AdviserLogic, XPlan, Midwinter)
• Experience with investment platforms (eg. HUB 24, MLC, AMP) – highly regarded
• Experience with insurance platforms (eg. AIA, TAL, Zurich) -– highly regarded
• Proficient in Microsoft Office suite
• An ability to develop and build on key relationships with internal and external stakeholders
• Self-motivated with the ability to work autonomously
• Flexible and professional attitude – being a small team, we all have several roles to play
• Effective time management skills
• Reliable

WORK HOURS
You must be available to respond to requests:

• Monday to Thursday – 8 am to 4 pm
• Friday – 8am to 12pm (half day, full pay)

However, you have flexibility in completing tasks as long as you fulfil your responsibilities and where tasks are not time-critical.

Start and finish times are negotiable, provided they fall within a reasonable timeframe within the specified hours.
Work times include a one-hour paid lunch break.
