Job Description

Summary
We are seeking a highly organized Full-Remote Admin & HR Manager to provide comprehensive support for our Asia-based remote team. We are a digital marketing agency operating completely online and remote, so our admin would be a key person to be our ‘glue’ between employees.

This role will combine administrative tasks, HR responsibilities, and collaboration with the Finance team. You will be responsible for managing documents, travel arrangements, payroll (ensuring local compliance), contracts, employee onboarding/offboarding, performance reviews, cost control, and more. A willingness to learn and guide the CEO on employment regulations in both Singapore and Japan is a must.

Administrative & HR Responsibilities

General Administration (ADMIN):
* Manage document filing system (electronic & physical) for all departments (contracts, proposals, legal documents etc.)
* Coordinate travel arrangements and expense reports
* Manage company calendar and schedule meetings
* Provide general administrative support to all staff
* Create SOP (standard operating procedures) across all parts of the business,

Human Resources (HR):
* Assist with payroll processing for both Singapore and Japan (ensure compliance with local regulations)
* Manage employee contracts (creation, renewal, termination)
* Coordinate and conduct staff performance reviews
* Facilitate onboarding and off-boarding of new and departing employees
* Maintain employee files and records

Finance (collaboration / support with Finance team):
* Assist with cost control measures – identify areas for potential cost savings
* Process invoices and payments (liaise with Finance team)
* Track and monitor office expenses

Additional Considerations: Willingness to learn:
* HR software and payroll systems
* Employment & filing regulations in both Singapore and Japan

Proficiencies / Qualifications:
* Minimum 3-5 years of experience in a combined HR and administrative role (or relevant experience in both areas)
* Ability to work independently and manage multiple priorities
* Proactive and detail-oriented with a problem-solving approach
* Proficiency with Office software (google docs, Microsoft office etc)
* Proficiency with Communication apps: Slack, zoom, clickup etc
