Job Description

Must be able to work during US hours (PST timezone) – 8a.m. – 5p.m PST timezone. Must be reliable and have a strong work ethic and can provide a history of successful freelance working background.

Job Summary:
As a Virtual Assistant Manager, you will be responsible for overseeing and managing a team of Virtual Assistants (VAs) to ensure efficient and effective support for various tasks and projects. Your role will involve coordinating tasks, providing guidance and training, monitoring performance, and optimizing workflows to enhance productivity. You will serve as the primary point of contact for the VAs, clients, and stakeholders, ensuring a high level of service and satisfaction.

Responsibilities:

Team Management:

Recruit, onboard, and train new VAs according to the requirements and standards.
Assign tasks and responsibilities to VAs based on their skills and expertise.
Conduct regular team meetings to communicate goals, expectations, and provide updates.
Provide ongoing coaching, mentoring, and performance feedback to VAs to support their professional growth.
Foster a positive team environment, promote collaboration, and resolve conflicts when they arise.

Task Coordination and Delegation:

Receive task requests from clients/stakeholders and assess their requirements.
Allocate tasks to VAs based on their availability, skills, and workload capacity.
Ensure clear communication of task details, deadlines, and deliverables to the VAs.
Monitor the progress of tasks and projects, and provide necessary guidance and support when required.
Conduct quality checks and review completed tasks to ensure accuracy and adherence to instructions.

Workflow Optimization:

Continuously evaluate existing workflows and processes to identify opportunities for improvement.
Develop and implement strategies to streamline operations, maximize efficiency, and enhance productivity.
Identify and utilize appropriate tools, software, and resources to optimize task management and collaboration among the VAs.
Implement standard operating procedures (SOPs) to ensure consistent quality and performance across the team.

Client Relationship Management:

Serve as the main point of contact for clients and stakeholders regarding task assignments, progress updates, and issue resolution.
Maintain regular communication with clients to understand their needs and expectations.
Address client concerns, queries, and requests promptly and professionally.
Seek feedback from clients to evaluate satisfaction levels and identify areas for improvement.

Performance Monitoring and Reporting:

Establish key performance indicators (KPIs) and metrics to measure the performance of the VA team.
Monitor and track individual and team performance against set goals and targets.
Prepare regular performance reports highlighting achievements, challenges, and recommendations for improvement.
Identify training needs and opportunities for professional development among the VAs.

Requirements:

Bachelor’s degree in a relevant field (Business Administration, Management, etc.) or equivalent experience.
Proven experience in managing a team of Virtual Assistants or similar roles.
Strong organizational and time management skills to prioritize tasks and meet deadlines.
Excellent communication skills, both written and verbal, to interact with clients, team members, and stakeholders.
Proficiency in using task management tools, project management software, and other relevant technologies.
Demonstrated problem-solving and decision-making abilities.
Ability to adapt to changing priorities and work well under pressure.
Experience in remote work environments and familiarity with virtual collaboration tools.
Leadership qualities with a focus on teamwork, motivation, and performance optimization.
