I’m the founder of The Somatic School. We’re on a mission to help people live fuller, more integrated lives. We do this by helping professional life coaches incorporate “somatic” (mind-body) approaches to work with the body’s intelligence in a coaching context.

The Somatic School is seeking an Administrative Assistant who is driven by operational excellence. It is a vital role that requires meticulous attention to detail, holistic thinking, and adaptability. We offer a rare career opportunity for the right candidate. RESPONSIBILITIES:

– Drafting emails and handling business communications
– Sort and filter incoming “info@” emails, forwarding to relevant team members as required
– Interfacing with customers
– Managing a calendar of events
– Updating and sending marketing emails and event reminder emails
– Executing on batch actions, such as tagging contacts or sending campaign emails to groups/segments
– Setting up automated workflows
– Improving automations and email campaigns
– Updating email templates with new dates, calendar events, and contact details
– Downloading recordings from Zoom and uploading them to Vimeo
– Documenting processes on AirManual
– Google Drive file management
– Responding to email queries and requests from customers about attendance, transfers, dates/times, Zoom links etc.
– Creating spaces on our dedicated community platform, , for training and for other events
– Creating a register of participants for each training weekend
– Creating the training calendars for the monthly intakes, planning the dates across the full 6-month course
– Populating and maintaining training schedules for our Trainers and training support team
– Updating the sales funnel conversion data spreadsheet (Google Sheets)
– Updating the website
– Emailing new customers invoices
– Contacting customers regarding failed auto-debit transactions on Paypal and Stripe and following up
– Prepare payment run for suppliers and freelancers on Wise
– Process customer refunds on Stripe
– Fielding cancellation requests and processing these on Xero as required

REQUIRED SKILLS:

– Minimum 2+ years of administration experience
– Competent on Keap (formerly Infusionsoft) – preferably expert
– Excellent attention to detail. Must be meticulous.
– Coordination skills
– Able to create simplicity and order from complexity
– A holistic thinker (looks are the entire picture)
– Good communication and interpersonal skills
– Warm, friendly and attentive customer service
– Highly organised and detail-oriented
– Learns from mistakes and always improving
– Tech savvy
– Team oriented and flexible
– Great attitude and work ethic
– Excellent time and workload management skills
– Proactive and demonstrates initiative
– Willing to ask clarifying questions
– Enthusiastic with a positive attitude
– Enjoys helping others and follows instructions well

PREFERABLE SKILLS:

– Experience using Xero
– Critical thinking, evaluation and analytical skills
– Fluent English

WORK HOURS:

40 hours/week
5:00pm-1:00am (Philippine Time)
or 9:00am to 5:00pm (UK Time)
Monday to Friday
