At Botanopia, we sell plant accessories and products for plant lovers, through our WooCommerce online shop and through marketplaces. We’re expanding, and we’re looking for a new long-term virtual executive assistant to join our team full time. Our headquarters are in the Netherlands, Europe. You can see our products at

*Who we’re looking for:*

We’re looking for a full-time (ideally 8hrs per day, 40 hrs per week) executive assistant with excellent administration skills and an eye for detail. You have proven previous experience with WooCommerce shops and e-commerce in general. You have an affinity for numbers and work accurately and securely.

The 3 qualities you need to be successful in this role are: Integrity, commitment, desire to learn.

Integrity: you are open and honest in your communication with your colleagues and the customers. If you’re struggling with a task or made a mistake, be upfront about it. We all make mistakes but I can’t help you fix it, if i don’t know about it.

Commitment: We’re looking for a long term work relationship. If you’re only looking for a few months of work, this is not for you.

Desire to learn: We are a small team, but growing fast. We want people who are open to learning new skills and taking on new projects. If you’re not excited about improving your skills and trying out new tasks, this is not for you.

*What you’ll be doing:*

In your role as executive assistant, the CEO will rely on you as her main point of support. Thanks to you, our customers receive their orders accurately and on time, and ecommerce back-office runs smoothly.

Here’s an overview of the most relevant recurring tasks you’ll be working on at Botanopia.

-First point of contact for our incoming emails/customer support (where is my order, product questions, stock questions etc…)

-Manual stock updates from our 3PL to our website and external platforms

-Manual processing of orders from external platforms (i.e. Faire en other B2B platforms)

-Manual check of our incoming orders to identify and solve potential problems before the orders are shipped.

-Evaluate stock and alert me in time for restocks + avoid overstocking

-Keep an eye on the work of our 3PL’s (3rd Party Logistics). Identify when orders are being sent too late or other issues. File claims for fulfilment issues, keep track of the refunds/credits for the claims.

-Financial administration: Upload invoices and expenses in our accounting software.
