We are looking for a Rockstar Office Manager to oversee our office and field operations and ensure that our team operates efficiently and effectively. The Office Manager will be responsible for managing all aspects of our work environment, including communication, project management, and team collaboration. The ideal candidate will have strong leadership and organizational skills, as well as experience working in a remote environment.

What you’ll do:
– Provide administrative support to ensure efficient office operations.
– Inbox management, calendar management, travel management, documentation, reporting, data entry, and research.
– Manage filing systems, update records, and organize documentation via cloud based software.
– Creating basic reports (reports on weekly tasks, deliverables, sales).
– Manage and maintain all accounts payables and receivables.
– Help develop an organizational structure, systems, policies, and processes.
– Create, maintain, update our operations manual, which documents all systems, process workflows, and cultural values
– Inbound and outbound messaging to our clients and do follow-ups when needed.
– Manage virtual team communication channels and ensure team members are staying connected and informed.
– Oversee project management tools and ensure that deadlines and milestones are being met.
– Provide support to team members as needed and help resolve any conflicts or issues that may arise.
– Monitor and track virtual team schedule and performance, identifying areas for improvement and implementing solutions to enhance productivity.
– Manage virtual office equipment and software, ensuring that team members have the necessary tools and resources to perform their roles effectively.

Core Qualifications:
– At least 2-3 years of experience in virtual office management or a similar role.
– Can help develop the organizational structure, systems, and processes (metrics and knowledge base).
– Able to prioritize and manage shifting responsibilities.
– Excellent leadership, project management, and organizational skills, with a strong attention to detail.
– Experience with virtual team communication and project management tools (e.g., Slack, ClickUp Asana, Trello).
– Strong problem-solving skills and ability to manage conflicts and resolve issues in a timely manner.
– Ability to work independently, prioritize tasks, multitask, and meet deadlines in a remote environment.
– Excellent written and verbal communication skills, with the ability to communicate effectively with team members at all levels.
– Familiarity with virtual office equipment and software, including video conferencing tools and cloud-based document sharing platforms (ex. G Suite, Zapier, ClickUp, WordPress CRM, and other cloud-based software).
– Must be able to learn new softwares

Work Details:
– 40 hours per week/ Amenable to shifting schedules / US Pacific Time

System/equipment requirements:
– Laptop/desktop with at least 4 GB RAM and i3 processor
– Stable internet connection of at least 5 MBPS (LAN Connection)
– Backup internet (pocket wifi)
