Canadian Property Management Company is a rapidly expanding property management company seeking an experienced and proactive Virtual Maintenance Planner/Scheduler and Coordinator to join our team. In this role, you will manage and coordinate all aspects of our maintenance program, including work order management, scheduling, resource allocation, tenant communication, and quality control. The ideal candidate will have a strong background in scheduling and property management, excellent communication skills, and a dedication to providing outstanding service to our clients and tenants.

Key Responsibilities:

Oversee and prioritize maintenance work orders, ensuring efficient and timely completion.

Coordinate maintenance schedules for reactive and preventive tasks, considering property and technician availability, skills, and workload.

Allocate necessary resources, including personnel, tools, equipment, and materials, for each maintenance job.

Assign tasks to maintenance technicians based on their skills, availability, and workload.

Develop and implement a preventive maintenance program to reduce equipment and system failures.

Maintain accurate records of maintenance activities, including work orders, schedules, and completed tasks using property management software (Buildium).

Monitor maintenance team performance and identify areas for improvement.

Manage maintenance budgets, tracking expenses, and estimating costs for upcoming tasks.

Serve as a liaison between tenants, property managers, maintenance technicians, and subcontractors, ensuring clear communication and smooth coordination of maintenance activities.

Oversee move-in/move-out processes and ensure that all tasks required for unit readiness are completed by set deadlines.

Schedule and manage regular maintenance items, such as fire inspections, pest management, and common area cleaning.

Implement and oversee quality control measures for properties under management, conducting property inspection audits to ensure adherence to Canadian Property Management Company quality standards.

Requirements:

Minimum 2 years of experience in scheduling and property management.

Tech-savvy and proficient in Microsoft Office Suite and property management software (Buildium experience preferred).

Strong time management and organizational skills.

General understanding of maintenance repairs.

Critical thinking and problem-solving abilities.

Excellent English communication skills, both written and verbal.

Ability to work well under pressure and adapt to emergency situations.

Preferred Qualifications:

Experience with preventive maintenance programs.

Knowledge of applicable regulations and industry best practices.
