We are looking for a reliable office administrator VA for our orthodontic office. This would include a variety of tasks, including social media manager, video editor (basic), email manager, blog post creator, insurance coordinator, and office administrator. We are a growing company so this job will evolve over time to include things like learning to setup tooth movements with our digital orthodontic software.
We will provide training. A list of instructions and training videos are available. Clarification can be provided on a daily basis during a time decided between the trainer and VA. To communicate with us you must have decent English communication skills.

Our scheduling is mostly flexible, although we DO require a couple of hours a day that the schedule overlaps with US hours to make phone calls to US insurance companies (as long as any deadlines are met) or if needed to help with your training via video or text chat. We are here to help you succeed! There may also be additional opportunities for those who are willing to adjust their schedules for US hours.

Tasks:
Managing Social media: we need someone who can design, edit, and post on our Instagram, Facebook, and YouTube accounts. Social media is for marketing the practice. Experience in marketing is a plus.
Editing Videos for YouTube: the videos will be for training staff. We have many examples already. You will need to clean up the videos by eliminating pauses, adding text at the correct time to clarify ideas, and do other things to make the videos more helpful for learners. We have used simple software like iMovie in the past. Most video editing programs can work. We use Canva to make simple graphics like thumbnails. Once completed, the videos are uploaded to Youtube.
Various administrative tasks include confirming insurance eligibility and benefits for patients seeking treatment in our office. We provide the patient’s information, and then you check online and/or call the insurance companies during the insurance company’s business hours in the USA and ask the questions we have listed on a checklist. Once completed, you upload the form to a Box account.
Managing email and notifying the doctor of certain emails will be taught.
You do not need to know how to do all those roles already, but the more knowledge you have, the more valuable you will be and the easier your experience will be.
We communicate via Slack, email, Box, and ClickUp primarily, but video conferencing can also be arranged occasionally if needed to help with training and communication.
The position ideally would start part-time and progress to full-time as you learn and become capable of completing more tasks. The more effort you make, the more your opportunity to get additional work.
