I am in search of a skilled and meticulous full-time executive assistant who can support my coaching business. My business focuses on coaching and consulting, and I am also involved in writing and creating content.
Job Description:
The ideal candidate must exhibit organization and efficiency, with a flair for effective communication. They will manage various administrative tasks, interact with clients, manage social media, and ensure smooth operations within the business.
Key Responsibilities:
• Manage and organize project management systems like ClickUp, AirTable, Todoist, Dropbox or Notion.
• Communicate with clients, following-up with them if need be.
• Post and manage comments/follow-ups on articles posted.
• Prepare for coaching calls and meetings according to the established process.
• Juggle multiple tasks and projects efficiently.
• Transcribe audio and video files as necessary.
• Manage social media accounts, including writing captions and posts, and follow up with communications
• Conduct research tasks for products I’m planning to buy, software I’m planning to test, or any other requirements I may need.
• Work with and possibly manage other people working within the coaching business.
Requirements:
• Excellent written and verbal communication skills in English.
• Strong commitment to responsibilities and ability to follow through on agreements.
• Exceptional attention to detail, with the ability to conduct multiple reviews to ensure no tasks are missed.
• Ability to follow instructions and adhere to existing processes.
• Fast typing speed and proficiency in online office suites like Google Docs and Google Sheets.
• Tech-savviness with the ability to find alternatives and learn new systems as needed.
• Reliable internet connection.
• Responsiveness to queries and comments, with a strong sense of responsibility and ownership.
• Efficiency-minded and critical thinker who can improve existing systems and processes.
• Can work at least 5-6 hours a day for five days a week in the Pacific Time Zone.
• Conduct regular video calls for status updates at least 3 times a week.
Bonus Skills:
• Experience with email and social media marketing.
• Basic programming skills for automation and streamlining of processes.
• Fundamental video editing skills.
• Experience with photo editing software like Canva and Photoshop.
