Job Description

Seeking highly organized and tech-savvy Virtual Assistants to support an online educator specializing in environmental education. As a Virtual Assistant, you will play a crucial role in ensuring efficient workflows and assisting with various tasks such as document formatting, social media management, content repurposing, data entry, and more. The ideal candidate should be familiar with utilizing AI tools, possess a strong understanding of branding and promotional materials, and have an interest in environmental, drones, and technology fields.
** Experience in drone flying, web-mapping software & basic video editing (or a willingness to learn) would be a bonus**

Responsibilities:
1. Document Formatting and Checklist:
• Format documents and checklists according to provided guidelines, ensuring consistency and professionalism.

2. Social Media Strategy and Planning:
• Assist in developing social media strategies, planning content calendars, and scheduling posts to maintain a consistent online presence across platforms such as LinkedIn and Instagram.

3. Basic Video Editing and Content Repurposing:
• Support in editing and repurposing video content to create engaging and informative materials for online courses and promotional purposes.

4. Data Entry and Course Summaries:
• Assist with data entry tasks, including summarizing online course content from transcripts and listing key objectives for course materials.

5. Template Creation:
• Develop templates for forms, documents, and other materials to streamline processes and maintain brand consistency.

6. Branding and Promotional Materials:
• Apply the brand kit to promotional materials, ensuring they align with the online educator’s brand identity.

7. Client List Compilation:
• Maintain and update a client list, ensuring accuracy and confidentiality of client information.

8. Proficiency in Tools:
• Utilize platforms such as Canva, Descript, Thinkific, Squarespace, and other relevant tools to efficiently carry out tasks and streamline workflows.

9. Workflow Optimization with AI Tools:
• Explore and implement AI tools to enhance productivity, automate repetitive tasks, and streamline workflows.

10. Project Management & Calendar Software:
• Set up and implement project management software, such as Trello, connecting to Google Drive.

11. Basic Video Editing:
• Conduct basic editing of videos for online course material.

12. Standard Operating Procedures:
• Document and create standard operating procedures for tasks and workflows.

13. Online Course and Website Support:
• Assist with creating landing and sales pages for online courses, as well as the development of funnels.

14. Design Templates for Social Media:
• Create design templates for social media posts using the Brand Media Kit and logos.

15. Assistance with Training Video Production:
• Support the editing of transcripts, show notes, timestamps, editing, thumbnail and cover photos for training videos.

16. Onboarding Workflows:
• Create new client onboarding workflows and onboarding processes for new students.

17. Travel Arrangements:
• Provide assistance with travel arrangements.

18. Affiliate Marketing and Brand Deals:
• Conduct research into building affiliate marketing campaigns and development of brand deals.

19. Customer Support and IT Assistance:
• Provide customer support and IT assistance as needed.

Requirements for this role
The ideal candidate should have:
• Proven experience as a Virtual Assistant or in a similar role.
• Strong organizational and time management skills to handle multiple tasks simultaneously.
• Excellent attention to detail, ability to deliver high-quality work within deadlines.
• Proficiency in English and document formatting, social media management, and video editing tools.
• Familiarity with AI tools and their application to streamline workflows.
• Knowledge of branding principles and the ability to apply brand guidelines consistently.
• Strong written and verbal communication and internet research skills.
• Ability to learn and adapt quickly to new technologies and software platforms.
• Prior experience in the field of online education, environmental studies, drones, or tech is a plus.
