Job Description

We are seeking a fast, proactive, and dynamic Virtual Assistant to join our luxury spiritual feminine online coaching business based on the Sunshine Coast, Australia. This versatile individual will combine administrative, tech, design and project management to support our growing projects. Graphic design experience will be looked on very favourably for this role. We are looking for someone committed to our company for 3-5 years and not freelancing or sharing their time with other projects or organizations.

Key Responsibilities:
-Traditional VA tasks: Perform various administrative duties with efficiency and accuracy.
-Diary Management: Schedule and manage my calendar. Calendar Management using Google Workplace and Acuity Scheduling for clients. Attention to detail with time zones differences and daylight savings.
-File Management: Organise and manage digital files effectively.
-Client Onboarding: Manage client onboarding processes, including sending contracts, scheduling and providing email support.
-Client Support and Concierge Services: Offer exceptional support and concierge services to clients.
-Active Campaign Management: Create and manage email campaigns and automation sequences using Active Campaign.
-Tech Support: Provide backend tech support, including website updates, Stripe & PayPal payment links, Zoom integration, and -YouTube channel management (uploading and basic editing of videos is a plus). Familiarity with Zapier, Loom, Bitly Links.
-System and Process Creation: Develop and implement Standard Operating Procedures (SOPs) and systems.
-General Tech Support: Handle various tech-related tasks as needed.
-Social Media Management: Post on Facebook Stories and Instagram Stories, cross-post social media content and manage social media interactions.
-Event Administration: Support event administration, logistics, planning and registration for international retreats and live events.
-Team Meetings: Participate in weekly team meetings.
-Creation of PDF Report and Updating: Create a report for client reading and update, and design existing Adobe files. (not needed every day but required from time to time)

MUST Skills:
-Graphic Design: Utilize graphic design skills to enhance marketing materials (highly advantageous).
-PDF and Workbook Creation: Design and create professional PDFs and workbooks. While this task is not everyday, we have existing InDesign and Photoshop files that need to be updated. Therefore, knowledge of these programs is essential.
-AI tools – enhancing workflow and productivity by implementing AI tools

Qualifications:
-Experience: At least 2 years of experience in a similar role with a moderate level of knowledge in using Adobe software (Not Canva), especially Adobe Photoshop and InDesign.
-Automation and Systems: Strong understanding of automation and system processes and the ability to solve problems.
-Social Media Familiarity: Proficient with social media platforms and content management.
-Independent and Collaborative: Ability to work both independently and as part of a team in a fast-paced environment.
-Organizational Skills: Excellent organizational and multitasking abilities.
-Attention to Detail: Strong attention to detail and a commitment to producing high-quality work.
-Communication Skills: Excellent communication and interpersonal skills.
-Non-Compete Agreement: Must be willing to sign a non-compete agreement. Please do not apply if you are working for another client or plan to outsource the tasks, as we are looking for a full-time individual.

Compensation:
-Rate: 800 AUD for the 3-month probation period, with potential to increase depending on performance and expertise.
-Type: Full-time, 6-7 hours per day, permanent work-from-home position.
