Job Description:
We are seeking an individual to perform administrative duties and support client’s business operations. As a general virtual assistant, you will be responsible for scheduling and attending meetings, managing calendars, and executing travel arrangements. You will also be expected to compile and distribute accounting reports, handle various administrative tasks, maintain and manage social media accounts.
Key Responsibilities:
Calendar Management:
Efficiently manage and prioritize the executives’ calendars, and appointments
Compartmentalizing the calendar to increase focus time and reduce the amount of back and forth to confirm appointments, scheduling meetings and 1:1s, resolving conflicting meeting times
Prioritizing engagements based on urgency
Studying an executive’s patterns to mitigate inefficiencies and maximize focus
Email Management:
Managing email messages and prioritizing and delegating to respective team members
Travel Arrangements and Itineraries:
Scheduling and organizing international and domestic trips, including booking and confirming flights, hotels, and transportation
Manage all travel expenses and create post-travel reports
Plans dinner reservations, day trips and commute times. Research safety precautions, money exchange, and available forms of payment when the executive is traveling
Draft itineraries to minimize time wasted (e.g. spent in transit, layovers, etc.)
Bookkeeping:
Enter bookkeeping data into Quickbooks/Xero
Operate Quickbooks/Xero for accounts receivable and billing
Processing of payments
Send invoices to clients
Order standard office supplies and equipments and other scheduled routine purchases
Social Media Management:
Create and manage a content calendar that outlines the posting schedule, content themes, and campaigns.
Setting up of social media accounts
Manage and update social media accounts
Graphic Design and Video Editing:
Create pre-made templates and update as needed
Helps with design branding and make sure it is consistent
Human Resource:
Sourcing of candidates for additional team members
Conducting paper screening and/or initial interview
Transcription:
Transcribing voicemails, video or audio, podcasts, etc.
Qualifications:
Proven experience as a general VA
Knowledge of social media and marketing
Excellent time management skills
Attention to details
Basic knowledge of bookkeeping
Technology savvy
Have a desire to serve people
Ability to manage a calendar and schedule appointments
