Island Links is seeking a detail-oriented and organized individual to join our team as General VA. The primary responsibility of this role is to ensure the timely and accurate fulfillment of customer orders from various channels, including Shopify, Amazon, and Walmart. The Virtual assistant will play a crucial role in monitoring open orders, resolving issues that may arise, and maintaining effective communication with vendors.
Key Responsibilities:
Order Monitoring:
Regularly review open orders from Shopify, Amazon, and Walmart to ensure they are processed and shipped within the specified timeframe.
Focus on orders that are 2-3 days old to allow vendors sufficient time for processing and shipping.
Identifying Open Order Issues:
Investigate and identify reasons why a shipment may be considered open, such as samples without automated tracking, orders not sent to vendors, back-ordered items, or items stuck in processing.
Communicate with vendors to address and resolve open order issues promptly.
Sample Handling:
Manage samples from five different vendors, ensuring that only samples from Dry Direct receive automated tracking.
Vendor Communication:
Maintain effective communication with approximately 20 vendors, coordinating order fulfillment and addressing any issues that may arise.
Occasionally instruct vendors to route orders to different warehouses as needed.
Automation and Data Entry:
Work with the automated systems of six vendors to minimize manual data entry and manipulation.
Ensure accurate and up-to-date records of order status and fulfillment details.
Qualifications:
Previous experience in order fulfillment, logistics, or a related field is preferred.
Strong organizational and time-management skills.
Excellent attention to detail and problem-solving abilities.
Effective communication skills for vendor interactions.
Familiarity with Shopify, Amazon, and Walmart order processing systems.
Ability to adapt to a fast-paced environment and handle multiple tasks simultaneously.
