Job Description

We are seeking a skilled General Virtual Assistant with advanced expertise in Excel to join our team. The ideal candidate will be responsible for handling various backend administrative tasks, focusing on efficiency and accuracy in data management and analysis. This role requires a proactive individual who can work independently to streamline processes and support the smooth operation of our business.

Key Responsibilities:
• Efficiently handle data entry, data cleansing, and data organization tasks using advanced Excel functions.
• Provide backend administrative support, including file organization, document preparation, and database management.
• Conduct complex data analysis, generate reports, and create data visualizations to support decision-making processes.
• Identify opportunities for process automation and implement Excel-based solutions to enhance efficiency.
• Assist in managing schedules, appointments, and coordinating meetings.
• Manage emails, respond to inquiries, and handle routine correspondence.
• Research various topics and compile comprehensive reports as needed.
• Collaborate with team members to ensure seamless execution of tasks and projects.
• Review documents and reports for accuracy, consistency, and adherence to established guidelines.
• Undertake additional ad hoc tasks and projects as assigned to support overall business operations.

Requirements & Qualifications:
• Proven experience as a Virtual Assistant or in a similar administrative role.
• Advanced proficiency in Microsoft Excel, including complex formulas, pivot tables, and data visualization.
• Strong organizational and multitasking skills with a keen eye for detail.
• Excellent written and verbal communication skills.
• Self-motivated and able to work independently.
• Tech-savvy with a good understanding of virtual collaboration tools.
• Problem-solving mindset and ability to adapt to changing priorities.
• High level of confidentiality and professionalism.
• Time management skills and ability to meet deadlines.
• Bachelor’s degree or equivalent experience in a relevant field.
• Undergo 3 days of paid training. If there’s an urgency for the role, the new hire must render an hour of paid OT before or after the shift for 3 weeks.
• Amenable to work Monday through Friday between 8 AM – 5 PM US Pacific Standard Time

Preferred Qualifications:
• Previous experience in backend administrative support.
• Previous experience in using advanced Excel functions (e.g. VLOOKUP, ARRAY FORMULAS, INDEX-MATCH, etc.)
• Knowledge of task automation tools and techniques.
• Familiarity with project management and collaboration platforms.
• Additional certifications or courses in Excel and data analysis.
