ABOUT THE COMPANY:
Ikigai Wellness is a small, growing wellness clinic located in Tigard, Oregon providing gentle natural medicine for chronic pain relief. We offer services such as acupuncture and massage therapy.
JOB RESPONSIBILITY:
The Virtual Assistant’s primary responsibilities may include, but are not limited to:
– patient support through phone calls, text messaging, email and fax. Taking messages and relaying information to patients or healthcare providers.
– various administrative duties such as scheduling appointments, maintaining patient records, managing calendars and coordinating patient and provider schedules
– assisting patients with troubleshooting to provide great service and increase patient satisfaction
– receiving accurate health insurance information, insurance verification checks and other billing tasks such as following up on outstanding payments
– clinic marketing assistance and creation of graphics on Canva
– attend monthly team meetings
IDEAL CANDIDATE:
The Virtual Assistant should:
– have a great desire to help others find wellness and pain relief so patients can enjoy their lives once more – be willing to learn about our services to be able to speak with patients comfortably when they call
– be compassionate with a positive attitude
– be organized and detail-oriented
– be able to problem solve and work with minimal supervision
– have technical aptitude to learn various programs and clinic systems quickly
– be adaptable as the clinic continues to grow and expand
REQUIREMENTS:
In order to complete their work, the Virtual Assistant must have:
– Fast and reliable internet
– Reliable computer with at least 8 GB RAM
– High quality headset with microphone for phone calls
– Working web cam for meetings and trainings
WORKING HOURS:
– Monday to Friday 8 AM – 12 PM, 1 PM – 5 PM (Pacific Standard Time)
– Once a month Saturday 9 AM – 10:30 AM (Pacific Standard Time) for team meetings (Friday hours shortened to remain under 40 hours)
