We are seeking an experienced and highly skilled Executive Assistant to support our Director of Engineering. As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of our engineering department and providing comprehensive administrative support to the Director.
Responsibilities:
* Calendar Management: Coordinate meetings and logistics, handle last-minute calendar changes, and protect time blocked off for focus. Manage personal appointments, including hospital visits, architectural appointments, etc.
* Inbox Management: Conduct daily inbox review, triage emails, and organize folders. Unsubscribe from newsletters and clean up the inbox. Draft and save responses for review. Prioritize important Slack messages.
* Household Management: Coordinate various household needs, including pet care, automotive tasks, home maintenance, and groceries. Conduct research and hire service professionals. Schedule appointments for personal vehicle servicing. Organize and research pet care options.
* Online Brand and Presence Management: Manage social media profiles, clean inboxes, and triage messages.
* Personal Shopping: Coordinate purchases and returns. Conduct pricing research and create best-of lists for desired items to purchase.
* Database, Reporting, and Document Management: Handle information and document management. Assist in filling compliance documents. Negotiate vendor contracts. Transcribe voice recordings into documents. Prepare team efficiency reports.
* Event Management: Plan team off-sites and events. Meeting Support: Prepare pre-meeting bios, post-meeting notes, and detailed briefs. Create formalized agendas. Draft attendee bios. Attend virtual meetings to take notes and track action items.
* Networking: Manage professional network and nurture relationships. Organize meetings and send check-in messages.
* Project and Administration Management: Create and assign tasks to team members using management tools. Integrate and aggregate personal task lists.
* Dining In and Out: Order online groceries for home delivery. Make restaurant bookings and arrange food delivery. Provide restaurant options based on favorite cuisine preferences.
* Fitness Management: Schedule classes or personal training sessions according to the schedule.
* Healthcare: Book appointments with doctors, dentists, and other healthcare practitioners.
* Occasion Calendars: Set reminders for special occasions, birthdays, and anniversaries. Plan regular dates and experiences for the client and his partner. Send cards, gifts, and well wishes to everyone in the network.
* Quality Time Prioritization: Protect time for essential essential people in client’s life. Organize monthly outings with friends.
* Travel Management: Manage reservations for flights, hotels, activities, and restaurants. Arrange bookings for local activities. Create travel itineraries for business trips.
* Research and Information Seeking: Conduct research on requested topics of interest, perform competitive research, and curate gift options for family, friends, and colleagues.
* Expenses and Invoicing: Prepare expenditure reports for the Engineering team and handle invoice payments.
* Goals and Routines Management: Ensure accountability for establishing and maintaining positive habits.
Requirements:
– Atleast 5 years experience as an Executive Assistant or in a similar role.
– Strong organizational and time management skills.
– Excellent communication and interpersonal abilities.
– Proficiency in calendar management tools and office software.
– Ability to prioritize and multitask in a fast-paced environment.
– High attention to detail and accuracy.
– Discretion and confidentiality.
– Ability to work independently with minimal supervision.
– Flexibility to work the schedule of 4pm-12am PHL.
– Salary: $1,000 per month
