Compensation: $400 per month for approximately 7-10 hours per week
Description:
We are seeking a detail-oriented and compassionate Virtual Assistant to join our virtual therapy clinic team. This role involves providing administrative support crucial to the efficient functioning of our clinic, with a focus on client communication and document management.
Responsibilities:
Granting client portal access and managing the intake process.
Following up with clients to remind them of intake paperwork requirements.
Processing all intake paperwork promptly and accurately.
Serving as a medical scribe for intake assessment, including adding diagnoses and treatment plans (will have templates).
Ensuring ongoing completion of notes for weekly clients and updating treatment plans every six months.
Writing termination notes when necessary.
Calendar management.
Requirements:
Attention to detail and ability to work independently.
Familiarity with medical billing codes preferred but can be trained.
Professional writing skills and client-centered communication.
Sensitivity and confidentiality are paramount when interacting with clients, particularly considering the focus of our practice on trauma and grief.
Knowledge of HIPAA and compliance standards.
Preferred: HIPAA certification or willingness to complete it before hiring. The company will cover the cost of training and the time spent on the course.
Must be open to undergoing advanced background checks to ensure confidentiality.
Our office operates during Pacific Standard Time from 9 AM to 7 PM. We prioritize responding to client emails promptly and prefer responses within the same day. Additionally, the provider will assist with email communication, and the Virtual Assistant can specify their preferred hours for responding to client communication each day.
Time Off:
The company recognizes and observes local holidays in the Philippines. We offer flexibility regarding sick days and family emergencies.
To ensure smooth operations and meet insurance submission deadlines for claims, please provide advance notice for any planned days off whenever possible. This allows the provider to make necessary adjustments accordingly.
Additional Information:
This is an ideal opportunity for a candidate seeking part-time work with flexibility. While the initial workload may be heavier during the onboarding phase, it will stabilize to approximately 10 hours per week thereafter.
