We are seeking a highly organized and detail-oriented individual to fill the role of Financial Executive Assistant and Investment Coordinator. This position is responsible for providing comprehensive support to our financial advisor, managing investment-related tasks, and ensuring smooth operations of the office. The ideal candidate will have a strong understanding of financial concepts, excellent communication skills, and the ability to handle sensitive client information with the utmost confidentiality.
Responsibilities:
– Client Relationship Management: Build and maintain strong relationships with clients by providing exceptional customer service and addressing their financial concerns and queries.
– Investment Coordination: Assist the financial advisor in managing investment accounts, including opening and maintaining investment accounts, processing transactions, and coordinating with relevant parties.
– Insurance Quoting: Utilize insurance software to generate life insurance quotes based on client-provided information. – Compile and organize quotes in an Excel spreadsheet for easy comparison.
– Executive Support: Provide administrative support to the financial advisor, including calendar management, scheduling meetings, handling correspondence, and maintaining records.
– Lead Generation: Utilize LinkedIn to generate leads and expand the network of potential clients. Send personalized messages and follow-up emails to prospects, ensuring timely and effective communication.
– Data Management: Maintain accurate and up-to-date client records and investment information using appropriate software and tools. Ensure data integrity and compliance with privacy regulations.
– Account Maintenance: Oversee the maintenance of investment and insurance accounts, including processing account updates, managing documentation, and addressing client inquiries.
– Security Compliance: Adhere to strict security protocols and ensure compliance with regulations pertaining to client information, background checks, and financial transactions.
– Collaboration: Collaborate with internal teams, such as underwriters and support staff, to facilitate smooth client interactions and resolve any issues promptly.
– Continuous Learning: Stay updated on industry trends, financial products, and regulatory changes to provide accurate information and support to clients.
Qualifications:
– Bachelor’s degree in finance, business administration, or a related field (or equivalent work experience)
– Proven experience in the financial services industry, preferably in a client-facing or administrative role
– Strong knowledge of investment concepts, insurance products, and financial planning processes
– Excellent organizational and time management skills, with the ability to prioritize tasks effectively
– Exceptional attention to detail and accuracy in data entry and record-keeping
– Proficient in using financial software, CRM systems, and Microsoft Office Suite (Excel, Word, PowerPoint)
– Outstanding written and verbal communication skills, with the ability to interact professionally with clients and colleagues
– Ability to maintain confidentiality and handle sensitive client information with integrity
– Familiarity with LinkedIn and lead-generation techniques is a plus
– U.S. citizenship and the ability to undergo a fingerprinted background check are required.
