Virtual Assistant Job Description for Partnership for Health: Home Healthcare Scheduler
Objective:
Partnership for Health seeks a proactive and organized Virtual Assistant based in the Philippines to manage and optimize our home healthcare scheduling process. This remote role is critical in supporting our local office team, ensuring a seamless service for clients, and minimizing scheduling disruptions.

Key Responsibilities:

Client and Staff Scheduling:

Schedule and coordinate shifts for field caregivers, clinicians, and nurses based on client requirements.
Ensure optimal staffing match for new/existing clients to ensure both employee and client satisfaction.
Manage modifications in the schedule to address sick leaves, vacations, and other absences.
Be available for emergency scheduling needs, even during off-business hours.
Recruitment and Onboarding:

Draft and post recruitment ads across multiple platforms.
Screen, interview, and document the hiring process for potential employees.
Ensure that all new hires complete necessary paperwork and background checks.
Database Management:

Ensure the accuracy of the client and caregiver data in the software system.
Track and maintain current clinical records as per company and regulatory standards.
Maintain reports on staff and client statistics.
Record and process client referrals and intakes in the system efficiently.
Communication:

Answer & triage calls from caregivers, clients, and prospects in a friendly, professional manner.
Inform caregivers and clients promptly regarding new assignments or changes in schedule.
Address and resolve any client or caregiver concerns.
Administrative Support:

Maintain active files for clients and staff and ensure their confidentiality.
Oversee the intake process, verifying necessary credentials and licenses.
Attend virtual weekly staff meetings and participate actively.
Provide additional administrative support as needed.
Compliance and Training:

Understand and adhere to Partnership for Health policies and procedures.
Ensure caregivers’ compliance with time reporting, in-service requirements, and annual medical checks.
Participate in ongoing education as applicable.
Performance Monitoring and Improvement:

Regularly assess and report on scheduling efficiency and caregiver-client matches.
Participate in the performance improvement process, especially in client follow-ups.
Achieve goals set in annual performance evaluations.
Required Skills and Qualifications:

Previous experience in home healthcare scheduling or related fields.
Strong organizational skills with the ability to manage a fast-paced environment.
Exceptional oral and written communication skills.
Strong customer service orientation.
Ability to handle sensitive information discreetly and maintain confidentiality.
Familiarity with healthcare software systems is a plus.
Willingness to work in a flexible schedule to cater to emergencies and scheduling modifications.
