Job Description

Position Overview:
The Virtual Assistant will be responsible for taking on HR roles such as recruitment, initial application
screening, credential and licensure verification, qualifications with hiring managers, and other
administrative support for the Team. He/ She will be responsible for the design and maintenance of the
company’s Training Hub. Experience with Australian Employment Legislation is a must as well as excellent spoken and written English.

Job Responsibilities:
1. Recruitment:
a. Including sourcing candidates online through various platforms, updating job
ads and conducting background checks.
b. You will play an important part in building a strong employer brand for our
company to ensure we attract, hire and retain the most qualified employees.

2. Pre-Onboarding Preparation:
a. Coordinate with the recruitment and hiring team to receive all necessary
onboarding materials.
b. Prepare and organize new hire documentation, welcome kits, and workspaces.

3. New Hire Orientation:
a. schedule orientations to familiarize new employees with company policies,
values, and culture.
? Managers to facilitate introductions to team members and key
stakeholders.
? Managers to provide an overview of the company’s mission, vision, and
structure.

4. Documentation and Compliance:
a. Ensure completion and accuracy of all required new hire paperwork.
b. Verify and maintain compliance with legal and organizational requirements.
c. Manage electronic and physical employee files.

5. Training and Development:
a. Collaborate with relevant departments to schedule and coordinate training
sessions for new hires.
b. Assist new employees in accessing necessary resources.

6. Technology Onboarding:
a. Coordinate the setup of all necessary technology and equipment for new
employees.
b. Assist with login credentials, software access, and IT-related queries.

7. Support and Communication:
a. Serve as the primary point of contact for new employees during the onboarding
process.
b. Address questions and concerns promptly and professionally.
c. Collect feedback to continuously improve the onboarding process.

8. Continuous Improvement:
a. Evaluate and update onboarding processes based on feedback and industry
best practices.
b. Contribute to the development of onboarding resources and materials such as
Notion.

9. Other Relevant tasks:
a. Design and manage the Company’s Training Hub.
b. Email management and other tasks that may be assigned from time to time.

Job Qualifications:
• Experience in Australian Fair Work or HR requirement is preferred.
• Proactive, excellent interpersonal, organisational, and time management skills.
• Excellent written and verbal English skills is a must.
• Knowledge of professional networks and graphic design tools is a plus.
• Trainable.
