Job Description: HR Executive Assistant
Position: HR Executive Assistant
Reporting to: HR Manager and COO
Location: Remote
About the Role:
We are seeking a dedicated and detail-oriented HR Executive Assistant to join our team. The ideal candidate will support the HR Manager and COO with a variety of administrative tasks, ensuring smooth and efficient operations within the HR department and executive office. This is a remote position, offering the flexibility to work from anywhere.
Key Responsibilities:
Payroll Processing:
-Accurately process payroll on a bi-weekly/monthly basis, ensuring timely and accurate payments to all employees.
Screenshot Review:
– Regularly review employee screenshots to monitor productivity and compliance.
Administrative Support to COO:
– Assist the COO with daily administrative tasks.
– Manage the COO’s email inbox, prioritizing and responding to emails as necessary.
– Maintain and organize the COO’s calendar, scheduling meetings, appointments, and travel arrangements.
Invoice Follow-Up:
– Proactively follow up on outstanding invoices to ensure timely payments from clients.
Accounts Payables:
– Manage accounts payable functions, including the processing and reconciliation of invoices.
US Taxes:
– While not a primary requirement, knowledge of US tax processes is a plus.
Administrative Support to HR Manager:
– Assist the HR Manager with various administrative tasks.
– Support HR functions such as employee onboarding, record keeping, and compliance tracking.
Qualifications:
– Proven experience as an executive assistant or in a similar administrative role.
– Experience in HR or payroll processing is highly desirable.
– Experience with graveyard shift work or willingness to work graveyard shifts.
– Excellent organizational and multitasking abilities.
– Strong attention to detail and accuracy.
– Proficient in Google Suite (Gmail, Google Calendar, Google Drive, Google Docs, Google Sheets) and other relevant software.
– Strong communication and interpersonal skills.
– Ability to work independently and manage time effectively in a remote work environment.
– Familiarity with US tax processes is a plus.
