Position Summary
The Human Resources Administrative Assistant is involved in all aspects of Human Resources activity, including Employee Onboarding, Recruitment, Benefits Administration, and Payroll. This position is responsible for providing administrative support to the Human Resources Department and will process and maintain highly confidential information. The ideal candidate will be proactive, energetic, detail-oriented, and be able to anticipate Principals’ needs and provide exceptional service in a timely manner. Qualified candidates will work independently, wear multiple hats and be productive in a remote working environment.
Essential Duties and Responsibilities.
The essential functions include, but are not limited to the following:
Maintains human resources records for employees by recording the hiring, transfer, termination, status change, and merit increase forms. Move employee’s folders from “active” to “terminated” Folder.
Collect and file lease addendums
Prepare request to live onsite packets
Prepare FMLA packets
Documents and tracks human resources actions by completing forms, reports, logs, and records.
Sets up and schedules interviews and meetings for hiring managers, and department heads.
Maintain and update leave tracker, employee referral tracker, lease addendum and others
Maintain and update the photo release report
Maintain and Update the Tool Box Talk Topics Calendar and monthly flyers
Create monthly birthday templates/Announcement
Create work anniversary templates/announcement
Prepare reports, HR Emails (HR announcements, holidays, benefits, payroll etc.) and presentations for internal communications
I-9s Audit for EAC (Employment Authorization Cards)
Update/send report for Covid Spreadsheet
Maintain and update the workers comp data base, incidents reports, and outlook reminders
Maintain and update the MVP report
Assist in reviewing benefits invoices to ensure accuracy prior to releasing for payment
Provide MVP information to present inform to HR
Perform other duties as assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities)
Proven experience as an HR Assistant, or relevant human resources/administrative position
Excellent interpersonal, verbal, and written communications skills
Working knowledge and use of Microsoft Excel
Ability to organize and prioritize tasks to meet deadlines
Can work independently as well as with others, while maintaining a high level of confidentiality
Hands-on experience with HR Systems
Basic knowledge of labor laws
