Be part of a team that cares about their co-workers! We are looking for a HR coordinator and Executive Assistant to help our growing transportation company to continue to provide great, quality service, while maintaining quality home time for our driver employees.
A Candidate for this position must have/be able to perform the following:
– Be a “Business Contact” as defined by Employer
– Speak and communicate in English, both verbally and in writing
– Be available to talk with employee drivers to address any issue with equipment, scheduling and/or dispatching
– Aid in the recruitment and screening of employee drivers
o Be able to clearly communicate with prospective employee drivers by telephone interview.
o Assist prospective employees in completion of the new hire packet, provide insurance packet and refer prospective employee to the appropriate resource for assistance
o Keep electronic copies of prospective employee drivers license, social security card/birth certificate or passport and medical card
o Assist prospective employees through the application process with First Advantage
– Be proficient to complete driver application over the phone with driver candidate
– Be able to navigate the First Advantage website to continuously push the driver candidate through the process
– Be able to email/call First Advantage and other business contacts to get driver candidate approved
– Obtain employee uniform size and shoe size
– Maintain a list of when uniforms were issued to drivers
– Create and organize electronic employee files
– Respond to requests for prior employment verification
– Assist in responding to employee issues regarding employee benefits
– Respond to requests for employee information for insurance claims or benefits
– Maintain equipment files and binders with current insurance cards, safety manuals, cab cards and any other documentation as required by DOT or Employer
– Maintain an accurate weekly schedule for each driver
– Aid in maintaining a current list of equipment VINs, corresponding customer run identifiers, and the serial numbers of truck issued equipment such as PrePass and IVG units
– Respond to emails from customers and other employees
– Login to safety program software weekly and complete safety trainings as well as any other trainings that might come apply or are required in the future
– Aid in maintaining a schedule of annual DOT equipment inspections and schedule inspections at least fourteen (14) days prior to the expiration date of the previous inspection
– Record each preventive maintenance service (“PM Service”) by VIN, truck number and mileage to ensure that expected maintenance performance standards are met
– To perform all additional tasks as may be directed or delegated by Employer
Education:
– High School diploma required
– Bachelor’s degree preferred or at least five (5) years experience in Human Resources
– Experience in transportation industry and/or dispatching is highly suggested
Skills Required:
Ability to manage multiple tasks/assignments.
Proficient in company’s standard software products, including Microsoft Office products.
Proficient in company’s software products, including Word and Excel.
Excellent verbal and written communication.

• Place of Work: 100% Work from home
• Minimum Hours of Work: 45 hours per week, inclusive of 1-hour break per day
• Work Schedule: Mondays – Fridays, 8:00AM – 5:00PM EASTERN TIME (New York Timezone, inclusive of 1-hour break) and On-Call if needed
