Position Overview:
We are seeking a dedicated and detail-oriented Information Technology Administrative Assistant to support a IT Professional. This role involves assisting with various administrative tasks to ensure the smooth and efficient operation of IT functions. The ideal candidate will have relevant work or educational experience in Information Technology, strong organizational skills, and the ability to manage multiple tasks effectively.

Key Responsibilities:

Calendar and Scheduling Management:
Coordinate and manage the IT manager’s calendar.
Schedule meetings, appointments, and events.
Ensure timely reminders and follow-ups for scheduled activities.

Email Management:
Monitor and manage the IT manager’s email inbox.
Prioritize and respond to emails as necessary.
Organize and file emails for easy retrieval.

Research:
Conduct research on various IT topics as requested.
Gather and analyze data to support IT projects and initiatives.
Summarize findings and present them in a clear, concise manner.

Data Entry:
Input and update data in IT systems and databases.
Ensure accuracy and integrity of information entered.
Maintain confidential and sensitive information.

Document Preparation:
Draft, format, and proofread documents, reports, and presentations.
Prepare meeting agendas and minutes.
Organize and maintain electronic and paper filing systems.

Travel Arrangements:
Coordinate travel plans, including booking flights, accommodations, and transportation.
Prepare travel itineraries and ensure all necessary arrangements are in place.

Communication:
Act as a liaison between the IT manager and other departments.
Communicate effectively with internal and external stakeholders.
Handle phone calls, messages, and inquiries promptly.

Organization:
Maintain an organized and efficient work environment.
Manage office supplies and equipment for the IT department.
Implement organizational systems and procedures.
Task Management:

Track and manage assigned tasks and projects.
Ensure deadlines are met and report on progress.
Assist with prioritizing workload based on urgency and importance.

Ad Hoc Support:
Provide administrative support for special projects and tasks as needed.
Assist with IT-related issues and troubleshooting when required.
Perform other duties as assigned by the IT manager.

Qualifications:
Relevant work experience in administrative support.
Relevant work or educational experience in Information Technology.
An associate’s degree in a related field is preferred but not required.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Ability to handle multiple tasks and prioritize effectively.
Detail-oriented with a high degree of accuracy.
Ability to work independently and as part of a team.
Familiarity with IT terminology and processes is a plus.
