Job Description

As an Insurance Agency Operations Assistant, you will be an integral part of our team, responsible for supporting various administrative and operational functions within the agency. You will work closely with our CEO and staff to ensure that all daily operations run seamlessly.
This is a crucial role responsible for supporting the daily operational activities of our insurance agency.
The primary focus of this position:
? Ensure the efficiency and effectiveness of our service operations
? Optimizing service tasks
? Managing client retention efforts
? Handling quote requests
? Continuous monitoring of tasks and ensuring follow-up and follow-through on all assigned duties
? Reporting on the status of various operational tasks- what are being done and what are not.
This role plays an essential part in streamlining our pipeline. This also involves collaboration with our team to ensure smooth operations and scalability.
Your goal will be to ensure the efficient flow of tasks and information within the agency. And most of all, expedite the completion of tasks.
Key Responsibilities:
? General Administrative Support
– Perform various administrative tasks, such as managing email correspondence.
? Retention:
– Work on client retention strategies to ensure that our existing clients remain satisfied and renew their policies.
? Operations Streamlining:
– Assist in optimizing operational processes, identifying bottlenecks, and suggesting improvements to enhance overall efficiency.
? Client Retention Management:
– Continuously monitor and manage client retention lists.
– Collaborate with agents and other team members to develop and execute client retention strategies.
– Identify areas for improvement and recommend strategies to enhance client satisfaction and retention rates.
? Service Task Streamlining:
– Work with agents and other team members to optimize service tasks and workflows.
– Implement efficient processes to handle client requests, policy updates, and claims efficiently, etc.
– Ensure timely response and resolution of client inquiries and concerns.
? Quote Request Handling:
– Make sure all quote requests are being added to the pipeline
– Monitor quote turnaround and priorities
– Maintain detailed records of quote requests and outcomes.
? Reporting:
– Generate regular reports on the status of retention efforts, quote requests, and other operational tasks.
– Communicate findings and recommendations to the management team to drive operational improvements.
? Team Collaboration
– Collaborate with other team members, including agents to ensure a cohesive and efficient workflow.
? Documentation
– Maintain accurate records and documentation of client interactions and transactions.
? Scalability
-Contribute to the growth of the agency by providing support to the team as we expand our services and client base.
Qualifications:
-Strong organizational and problem-solving skills.
-Excellent communication and interpersonal skills.
-Proficiency in using insurance agency software and tools.
-Detail-oriented and capable of multitasking.
-Ability to work effectively in a team and independently.
-A proactive and results-driven approach to tasks and challenges.
-Previous experience in insurance agency operations or related roles is preferred but not required.
-At least 50mbps internet speed
