Job Description

We are seeking an experienced and detail-oriented Inventory and Financial Management Analyst to join our team. In this role, you will be responsible for managing our inventory using our ERP software, Ingenious, ensuring accuracy in stock levels, and effectively managing our shipping operations. This includes data entry, conducting consumption analysis, creating inventory orders, and coordinating with logistics partners. You will also be expected to conduct analysis on inventory count data to inform future inventory management and order decisions. Additionally, you will work on procurement analysis, maintaining an authoritative list of vendors, and conducting pricing comparison analysis.

Another significant aspect of your role will be conducting financial analysis, assembling financial reports, and creating financial models for budgeting and projections. These tasks will require a strong understanding of the three financial statements and proficiency in creating visually appealing Excel spreadsheets. You will also be tasked with creating Purchase Orders within our ERP and QuickBooks. Your ability to interpret and present financial data will directly support our team in making strategic decisions and presenting to investors.

To ensure smooth operations and efficient procedures, you will be expected to document, maintain, and update standard operating procedures for all job responsibilities. As a member of our team, your ability to manage projects and keen attention to detail will be highly valued.

Responsibilities

Inventory Management (15 hours /wk)

– Mastering our ERP software, Ingenious
– Inputting data to update inventory counts, stock levels, and product information.
– Entering recent deliveries into inventory stock within ERP.
– Conducting analysis to assess consumption patterns, determine waste amounts, and identify errors in our implementation.
– Assembling new inventory orders for review and approval based on consumption patterns.
– Collecting feedback for how to improve the ERP system and project-managing the ERP supplier as they work our on our requests.
– Identifying anomalies and areas of improvement for the ERP and our data integrity.
– Conducting analysis on inventory count data to inform inventory management and ordering for the future.

Shipping Management (2 hours /wk)

– Maintaining updated information on any inbound shipments of inventory and their estimated arrival date
– Following up with logistics partners to ensure shipments aren’t being held up

Procurement Analysis (2 hours / wk)

– Maintaining authoritative list of vendors, products, pricing, etc.
– Identifying backup or secondary vendors for key products
– Conducting pricing comparison analysis between vendor offerings.
– Creating Purchase Orders for new inventory orders within ERP and entering into Quickbooks.

Financial Analysis (10 hours / wk)

– Assemble financial reporting packages to solve for readability. (Financial data will be provided by accountant – this would be to put a report together that is attractive and clear for investor review)
– Conduct individual financial analysis projects (such as margin analysis, etc) when requested.
– Create financial models as needed for budgeting and projections.

Reporting (5 hrs / wk)

– Update weekly and monthly financial and operational dashboards from various sources of data.
– Assist with data analysis for Board presentations, company meetings, and other events.

Other (3 hrs / wk)

– Document, maintain, and update Standard Operating Procedures for all job responsibilities.

Abilities / Skills

– Very fluent in English
– Very proficient / advanced Microsoft Excel
– In-depth experience with at least one ERP/Inventory Management software
– Proficient in Quickbooks Desktop and Quickbooks Online
– Trained on inventory management and/or supply chain.
– Familiar with and experience in Microsoft Outlook, Gmail, Trello, ChatGPT, and Zoom.
– Organized work and proven ability to manage small projects.
– Ability to read and understand the three financial statements
– Ability to create financial models in Excel
– Ability to create attractive / visually appealing Excel spreadsheets.
– Extremely detail- and process-oriented

Qualifications

– Must be able to work during Arizona, USA business hours, which are Pacific Time March-October and Mountain Time October-March. Specifically, the hours would be 8am to 4pm M-F with an hourlong lunch break.
– Must have a high-speed, reliable internet connection and a workspace conducive to concentration and professionalism.
– 5+ years of inventory management and/or financial analysis experience.
– Bachelor’s degree or higher.
