Job Description

As a Virtual Assistant (Invoicing Specialist), you will be responsible for managing the invoicing process efficiently and accurately using QuickBooks Online and other software tools. Your primary duty will be to create invoices promptly and ensure all details are accurately recorded, maintaining compliance with company policies and accounting standards. This position requires a meticulous individual who can handle a high volume of invoices while maintaining exceptional attention to detail.

Key Responsibilities:

Create and issue invoices accurately and promptly using QuickBooks Online.
Verify invoice details, including pricing, quantities, discounts, and taxes, to ensure accuracy.
Coordinate with internal departments to gather necessary information for invoice creation.
Assist in resolving billing issues and discrepancies in a timely manner.
Generate reports and provide analysis as required by management.
Stay updated on relevant software updates and industry best practices for invoicing processes.
Collaborate with the finance team to streamline invoicing procedures and improve efficiency.
Maintain confidentiality of financial information and adhere to data security protocols.

Qualifications:

Proven experience working with QuickBooks Online or similar accounting software.
Proficiency in Microsoft Excel and other software applications relevant to invoicing processes.
Excellent attention to detail and accuracy in data entry and record-keeping.
Strong organizational and time management skills, with the ability to prioritize tasks effectively.
Excellent communication skills, both written and verbal, with the ability to interact professionally with internal stakeholders.
Ability to work independently in a remote setting while also collaborating effectively with team members.
Previous experience in a virtual assistant role or similar administrative position is preferred.
Bachelor’s degree in Accounting, Finance, Business Administration, or related field is a plus.
